What are the responsibilities and job description for the CA_Legal Assistant I position at Williamson County?
Reporting directly to the Chief Legal Assistant, responsible for providing legal assistance to assigned legal staff, and acts as a liaison between attorneys, courts, witnesses, law enforcement agencies, other agencies, and the public. Assists legal staff by drafting all necessary legal documents.
- Reviews court dockets (such as First Appearance, Announcement, Pretrial, Jail Call, Plea, Sentencing), prepares all paperwork necessary for dockets (such as plea packets, evidence logs, motions and other miscellaneous documentation), as well as all paperwork requested by the prosecutor or the courts, and attends court dockets to provide support and assistance for additional needs during settings
- Prepares subpoenas and monitors/updates the subpoena tracking system
- Enters, updates, and retrieves information across multiple systems and databases
- Assists attorneys in court and helps maintain court dockets and calendars
- Supports, cross-trains, and assists in other courts as needed
- Routinely communicates with court personnel regarding upcoming case settings and case management
- Drafts required legal forms and notices as needed
- Organizes, copies, prepares, and creates prosecution case files, and inputs data into the system
- Generates workflow intake sheets and distributes to appropriate prosecutors for review
- E-files Protective Order applications
- Receives, processes, and inputs petitions for expungement
- Submits electronic reports to Texas Department of Public Safety and Criminal Justice Information Services (CJIS)
- Inputs cases sent up on appeal from Municipal and/or Justice of the Peace courts
- Requests case reports from the appropriate agencies
- Prepares case files to be sent to District Attorney's office
- Processes declined cases and refiled cases
- Receives media and documentary evidence from external agencies and internal staff
- Assists law enforcement agencies with receipt of media evidence
- Accesses law enforcement databases to acquire various reports and documents as needed
- Assists in preparation of witness subpoenas
- Maintains confidentiality and security of records and information
- Ensures all case documents received are appropriately attached and labeled in the case database
- Provides administrative support to include mailing paperwork, answering telephones, faxing, scanning, creating communications, making copies, and dispensing mail
- Cross-trains and serves as back up in other areas to ensure continuity of departmental operations
- Ensures all visitors comply with Texas Crime Information Center (TCIC)/National Crime Information Center (NCIC) polices
- Communicates frequently with County personnel, Attorneys, law enforcement agencies, and the public
- Performs related special projects as assigned including but not limited to Pretrial Intervention program, Truancy cases, Mental Health dockets, DWI/Veterans Court dockets, Expunction, and Non-Disclosures
- Responsible for the proper handling of payments and receipting them correctly in the database
- Attends all meetings and trainings, as required
- Performs special duties as assigned

- High stress, pressure of deadlines, and case management under limited time constraints
IRREGULAR HOURS
- Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
- May be deemed essential personnel in the event of an emergency

- Associate degree in a related field; OR an equivalent combination of education and experience
- Working knowledge of Microsoft Office Suite
LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
- Valid driver’s license
Required within six (6) months of employment
- Criminal Justice Information Services (CJIS) Security Awareness Certification
- Texas Crime Information Center (TCIC)/Texas Law Enforcement Telecommunications System (TLETS) Mobile Access Certification
- Texas Notary Public Commission
PREFERRED QUALIFICATIONS
- One (1) year of experience in a legal setting
- Bilingual: Spanish
- Working knowledge of Odyssey, Adobe Acrobat, Adobe Sign, Laserfiche, Kronos, Alice, and Jabber
