What are the responsibilities and job description for the Court Specialist position at Williamson County?
- Provides customer service and performs detailed legal procedures associated with the receipt, review, processing and maintenance of court documents and case files, including eFiled civil and criminal documents
- Attends court and prepares and processes varied legal procedures and documents, such as subpoenas, capias, notices of judgment
- Interacts with various state, county, local and private agencies
- Utilizes legal reference materials to perform research related to current laws and procedures
- Prepares a variety of reports related to case management and compliance
- Reviews and determines court cost
- Scans all pleading documents received from court
- Conducts records management by creating, retaining, distributing, and disposing files as necessary
- Assists with jury selection process
- Performs data entry of court proceedings, orders and outcomes based on court documents
- Prepares and completes dismissal dockets
- Serves as courtroom clerk, when necessary
- Attends all trainings and meetings as needed
- Performs special duties as assigned
This position will fall within one of the following job assignment areas:
Criminal & Civil Assignment:
- Processes and reports cases to the state via Criminal Justice Information System (CJIS)
- Updates motions and signed orders related to criminal and civil cases
- Provides legal documentation to the Department of Transportation and other state agencies
- Prepares TDCJ Pen Packets for defendants
- Reviews, collects, and processes paperwork related to Child Protective Services, family, and tax cases
- Collaborates and assists with casework for severances, consolidations, and case transfers to entities outside of Williamson County
- Processes attorney payment vouchers and distributes case closure notices
- Creates payment plans for all persons charged with federal crimes and distributes notices
- Handles paperwork related to indictment by grand jury, bonds, and warrants
- Conducts felony case research and performs record retentions
- Conduct follow-ups on magistrate documents and cases
- Serves as department liaison for federal, state and local agencies for criminal cases

PHYSICAL DEMANDS
- Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

- Work is primarily indoors in an air-conditioned environment
IRREGULAR HOURS
- Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
- May be deemed essential personnel in the event of an emergency

- High School Diploma or equivalent
- Two (2) years of clerical experience with one (1) year in a court or legal setting; OR one (1) year experience in a Williamson County Deputy District Clerk position
- One (1) year cash-handling experience
- Working knowledge of Microsoft Office Suite
LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
- Valid Texas driver’s license
PREFERRED QUALIFICATIONS
- One (1) year of experience in a Williamson County Deputy District Clerk position
- Prior experience with records management and e-Filing procedures
- Extensive knowledge of Microsoft applications
