What are the responsibilities and job description for the VS_Administrative Specialist position at Williamson County?
Reporting directly to the Director of Veteran Services, responsible for providing administrative support to the Williamson County Veteran Services Department by performing reception and clerical duties.
- Provides coverage at a reception desk to assist visitors and callers
- Provides quality customer service to veterans and staff via telephone, email or in person
- Provides resources to veterans and their families
- Schedules appointments and sends confirmations
- Answers routine questions within the scope of position
- Ensures filing systems are maintained and up to date
- Retrieves, sorts, and distributes incoming mail and fax documents
- Orders equipment and supplies and aids with budget tracking
- Creates and maintains various reports, forms, worksheets, and informational materials
- Enters and verifies data within applicable databases and systems
- Assist department staff and management with events and other clerical duties, as needed
- Ensures cleanliness of lobby and kitchen areas
- Attends all meetings and trainings as required
- Performs special duties as assigned

PHYSICAL DEMANDS
- Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

- Work is primarily indoors in an air-conditioned environment
IRREGULAR HOURS
- Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
- May be deemed essential personnel in the event of an emergency

- High School diploma or equivalent
- One (1) year of clerical experience in a customer service role
- Knowledge of Microsoft Office
LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
- Valid Texas Driver’s license
PREFERRED QUALIFICATIONS
- Prior public sector experience and/or experience working with veterans
- Bilingual (Spanish)
