Optical Assistant

Job Summary
We are seeking a dedicated and detail-oriented Optical Assistant to join our team. In this role, you will provide exceptional support to both patients and the optical staff, ensuring a smooth and efficient experience in our practice. The ideal candidate will have a strong background in optical services, retail sales, or medical records, with a passion for helping others.

Responsibilities

• Mission Statement - At all times, represents the WEC mission by always demonstrating professional and thoughtful behaviors; promoting goodwill, both internally and externally, with an unwavering focus on patient care and exceeding patient expectations.
• Accurately dispense, adjust, and repair patient eyewear.
• Answer all optical calls, unless assisting a patient in person. Check optical voicemail throughout the day and return patient calls in a timely manner. Take detailed messages for all patients who require a call back from an optician or clinic team member.
• Neutralize completed eyeglass orders to verify accuracy, notify patient for pick-up
• Notify supervisory staff of patient complaints or problems either communicated by the patient or identified by an employee.
• Request approval form Optical Management for any exchanges or refunds requested.
• Accurately complete all required tracking and production reports as directed by supervisory staff.
• Assist in general housekeeping at closing and throughout the day, including dusting frame boards, cleaning frames, and maintaining a neat and orderly appearance on the sales floor.
• Work with supervisory staff to restock supplies, frames and accessories as needed.
• Attend all required staff meetings and training sessions.
• Manage personal patient information in a secure and confidential manner ensuring all communication, both verbal and visual, are in compliance with HIPAA regulations.

Qualifications

• Previous experience in an optical setting or related field is preferred but not required.
• Strong retail sales skills with an emphasis on customer service excellence.
• Familiarity with ophthalmology practices.
• Basic understanding of anatomy and physiology related to eye care is advantageous.
• Excellent communication skills, both verbal and written, to effectively interact with patients and team members.
• Ability to work well in a fast-paced environment while maintaining attention to detail.
