What are the responsibilities and job description for the Payroll Administrator position at Willow Search Partners?
The Payroll and Audit Administrator plays a vital role in ensuring compliant payroll execution for U.S. and Canadian teams, overseeing people-related invoicing, and acting as the subject matter expert (SME) for internal and external audits throughout the year. This position is the primary point of contact for payroll, audit, and payables inquiries, providing direct support to the employee population. The role also seeks opportunities to enhance workflows and processes while managing tasks independently with minimal guidance. Reporting directly to the Director of People Operations, the Payroll and Audit Administrator is a key member of the People Operations team.
KEY RESPONSIBILITIES:
Invoicing
• Manage all new vendor onboarding for people-related needs
• Act as the primary contact for invoice-related inquiries from vendors, Finance Teams, or APNA
• Maintain an accurate invoicing tracker using Monday.com
• Ensure the timely processing of all people-related invoices through NetSuite, working closely with APNA
Audit & Compliance • Lead all audit-related inquiries across the U.S. and Canada, providing consistent communications and updates to stakeholders
• Ensure compliance with employee withholding requirements at state and local levels, including garnishments and tax notices • Produce accurate audit-related reports and data sets
• Participate in monthly payroll audits and documentation via the Archer platform
• Collaborate with ADP’s SmartCompliance platform for processing and resolving tax notices and related actions
Payroll Processing
• Serve as the point of contact for employee inquiries related to payroll and manage payroll-related correspondence and exceptions
• Manage payroll-related invoices and track associated expenses
• Ensure accurate year-end documentation and systematic closing, including W2s, 1095s, and other required forms
• Stay current on federal and state payroll regulations
• Coordinate and distribute necessary payroll reports to the Finance Team
• Process biweekly and off-cycle payrolls, including time and attendance, earnings, deductions, and benefits contributions for U.S. and Canadian teams using ADP Workforce Now/TeamPay
• Oversee payroll processes for employee onboarding and offboarding
• Investigate and resolve payroll discrepancies raised by the Finance Team to maintain accurate general ledger data

Salary : $75,000 - $90,000
