Overview
Willow Valley Communities is hiring a PRN (as needed) Concierge (front desk) to be the first point of contact for Residents, vendors and the guests of Willow Valley Communities. The Concierge is responsible for greeting, welcoming and directing Residents and guests in a friendly and courteous manner, both in person and over the telephone.

Responsibilities:
- Maintains a professional manner and appearance and creates a warm, inviting, pleasant and safe environment for all Residents and guests.
- Welcomes on-site guests, determines nature of business, provides information and directions as required in a friendly, courteous manner. Announces guests to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and transfers calls to appropriate Residents, Team Member or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Facilitates communicate via two way radio with Team Members away from the phone connection.
- Responsible to read and become familiar with WVC publications, Team Member Intranet and Resident Intranet to aid in answering questions about the organization and provide callers with addresses, directions, and other information.
- Responsible to ensure the key boxes are secure and key permissions are followed when issuing keys. Supports the Resident out process by accepting keys and processing associated paperwork.
- Responsible for acknowledging emergency phone calls and/or alarms in the Simplex system and for dispatching the appropriate Team Members to respond to emergencies. Facilitates communication between Team Members during such emergencies through the conclusion of event.
- Facilitates communication with the Manager on Duty and Maintenance Team Member on Call Team Leaders and various department Team Members as necessary.
Responsible to follow guest room check in/out procedures and to create guest room reservations upon request.
Responsible to read and familiarize self with transportation schedules, make transportation reservations and facilitate communication for WVC transportation service.
Responsible to submit maintenance requests for WVC property and Residents.
Responsible to submit IT service for WVC computers and phones.
A working knowledge of Microsoft Office software and the ability to learn software, databases and web applications is required.
Responsible to receive, sort and route USPS mail, in house mail, packages and floral deliveries.
Responsible to have a working knowledge of and operate the copier and fax machines and ensure machines are equipped with supplies.
Responsible to ensure the safe is locked and secured. Takes payments for services and reconcile daily cash box receipts.
General typing is required. Responsible to type memos, letters, schedules, correspondence, reports and other documents as requested.
Responsible to know procedures for daily functions of the Concierge Desk.
Performs clerical tasks such as copying, fax/scanning and collating.
Qualifications:
- Experience using Microsoft Office required
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
