Description:
Client Services Associate is a part-time staff position within Willowstone Family Services. Working with a multi-disciplinary team, this position is responsible for ensuring a positive client experience. This position provides administrative functions and client support as directed by Finance Director and in cooperation with the Director of Clinical Services. A primary role will include providing support to the current clients, ongoing communication with clients in need of support, helping to prioritize client needs within their requests for service, and client engagement in Willowstone and other community mental health opportunities. Must be able to work a flexible schedule, be willing to work evenings, and sometimes required to work weekends.

Requirements
Reviewing closed charts to ensure accuracy of documented billing codes and various policies and procedures regarding record keeping
Scheduling clients for counseling appointments and assisting the reception staff in processing insurance pre-authorizations and client paperwork
Applying payments, processing denials, and setting up payment arrangements for past due clients and collection of past due accounts in coordination with the Finance Department
Answering client questions to help them understand their accounts and assisting in any action required from them
Other duties as assigned
Desired Qualifications
Must have an Associate’s degree in Business or Medical Billing and Coding or 3 years of equivalent experience
Experience in customer service and accounts receivable is preferred
Insurance and medical billing experience is a plus
Experience and Skills
The understanding and ability to prepare and interpret billing reports and documentation with attention to detail in administrative and data entry duties
Strong communication skills. Bilingual English/Spanish preferred
This person will be able to recognize and respond to the needs of clients and the agency. Outgoing personality with high level of comfort meeting new people and demonstrates exemplary customer service and problem-solving skills
The ability to learn and use software is required: Microsoft office programs, medical billing software and Adobe Acrobat. This person must have a high level of competency with computer and computer software related to the position
Knowledge of local community and governmental resources or case management experience strongly preferred
Demonstrated ability to work effectively with people of diverse races, ethnicities, ages, socio-economic statuses, immigration statuses, and genders
