Reports To: Office Manager
Terms of Employment: Permanent, 12 Month Position
Nature of Work:
To support the goals and high standards of Transportation Services by ensuring accuracy and efficient data entry and time management.
DUTIES AND RESPONSIBILITIES:
Records and Reports:
- File completed work orders and pm’s.
- Organize, compile & file sign-in sheets.
- Review and maintain fuel inventory report file.
- Compile and maintain spreadsheets of completed pm’s and provide Equipment Supervisor with reports weekly.
- Compile TD-2 and TD-2R reports.
- Compile Annual Stop Arm Violation Count Report from Area Coordinators.
Data Entry:
- Key daily work orders (TD-18).
- Compile and enter non-wrench turning time for mechanics.
- Use leave time report from Office Manager to enter leave time for each mechanic in BSIP.
- Transfer service calls to spreadsheet and maintain.
- Maintain and update 30-day inspection list.
- Receive fuel into inventory.
Clerical:
- Answer phone as needed.
- Distribute faxes as needed.
Extra Duties:
- Print and organize 30-day inspections.
- Verify that all 30-day inspections have been returned by route mechanics.
- Resolve issues dealing with plan dates on 30-day inspections.
- Maintain spreadsheet on inventory deficits and assist with resolving deficit problems.
- Review work entered weekly for completeness and accuracy.
- Prepare reimbursements for Contract Transportation providers.
- Provide DPI with school bus assignments annually and update as needed.
- Work with Nextel customer service to resolve Nextel problems.
- Assist Office Manager with Bus Driver Workshop preparation.
- Monitor fuel levels and order as needed.
QUALIFICATIONS:
- High school graduate.
- Knowledge of office equipment and procedures.
- Experience with Microsoft Office.
- Ability to follow detailed written and oral instructions.
PHYSICAL REQUIREMENTS:
Must be able to physically perform the basic life operational functions needed to fulfill required job duties. Must be able to communicate orally and in writing with co-workers, Transportation Staff, and customers.
SPECIAL REQUIREMENTS:
Required to work a staggered work schedule as needed.
