Job Overview
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring smooth communication, and providing excellent service to both internal and external clients. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a professional demeanor.

Wiltwyck Rural Cemetery is a not-for-profit organization that seeks to assist families with the final disposition of themselves or their loved ones. We also serve Funeral Directors who work directly with families in this pursuit.

It is the job of the office assistant to make sure the cemetery runs smoothly. They work directly under the superintendent to assist families and funeral directors with both pre-need and at-need services, create and maintain necessary records of cemetery duties, maintain the quality and cleanliness of the office, and logistically and generally assist all other positions in the operation of Wiltwyck Cemetery.

Responsibilities include but are not limited to:

  • Field phone-inquiries - The office assistant is the position most likely to answer the phone when it rings. You will assist the client to the best of your ability including but not limited to: giving information, scheduling appointments, making sales, and, at times, emotional support or comfort.
  • Create and maintain records of cemetery duties including but not limited to: burials, cremations, lot owner information, maps, accounts receivable, and grounds or office projects.
  • Provide logistical support – The office assistant maintains a google calendar of upcoming services, projects, and meetings. They will schedule other events according to this calendar to the ability of themselves and other staff.It is also their responsibility to make sure the events on this calendar are known to other personnel either by sharing the calendar to select positions or by generated work orders.
  • Sales – The office assistant will make sales with client families on both pre-need and at-need basis. The office assistant must always remember that on a routine day for us, we may be interacting with a client's family who has suffered a traumatic loss.
  • Crematory Assistance – The office assistant will work closely with the crematory operator, generating the paperwork related to the cremation and assisting with the take-in and movement of cremation cases. The office assistant may need to assist the crematory operator with the committal to the retort. The office assistant and crematory operator will use this opportunity to “double-check” each other’s work to ensure accuracy and quality.
  • Services – The office assistant will often be present and assist with the services we provide such as burials, entombments, and witnessed cremations. During these services, the office assistant is acting as a “face” of Wiltwyck Cemetery and will make sure the family and funeral director have everything they need for their service. It is essential that the office assistant be courteous and comforting to the family and funeral director.

  • Basic Technology Comprehension – Computer Literacy, Microsoft Word and Excel, maintain electronic files/Google suite.
  • Attention to detail
  • Previous experience in an office environment preferred, but not required. Customer service experience may also apply.

Job Type: Part-time

Pay: $18.00 - $20.00 per hour

Expected hours: 20 – 25 per week
