POSITION SUMMARY
The Program Assistant to the Workforce Development Specialist is a crucial administrative support role, responsible for ensuring the efficient operation of the workforce development program. This position involves administrative tasks, client assistance, program coordination, data management, and supporting the Resource Center and Workforce Development Center. The Program Assistant plays a key role in maintaining client records, providing guidance to clients, coordinating program activities, managing data, and assisting with the Center's operations. The successful candidate will possess excellent organizational and communication skills, be detail-oriented, and have a strong commitment to client service and program success while adhering to the highest level of confidentiality.
20 hours per week (9 a.m. to 2 p.m.) Monday, Tuesday, Thursday & Friday. Two Locations to support, Greensburg & Tarentum. And in the community.
ESSENTIAL FUNCTIONS
Administrative Support:
o Assist in maintaining accurate and up-to-date client records, including documentation of client progress and program-related data.
o Handle phone inquiries, schedule appointments, and manage the specialist's calendar.
o Prepare and distribute program materials, forms, and reports as required.
o Perform general office tasks such as filing, copying, and organizing documents.
o Social-media posting and sharing, community outreach calls.
Client Assistance:
o Greet and assist clients, ensuring a welcoming and professional atmosphere.
o Collect and compile necessary client information and intake forms.
o Assist clients in accessing program resources, services, and workshops.
o Provide guidance and support in completing necessary paperwork.
Program Coordination:
o Assist in coordinating workshops, job fairs, and other program events.
o Collaborate with the specialist to organize client outreach initiatives.
o Coordinate transportation and logistics for program-related activities.
o Maintain inventory of program materials and supplies.
Data Management:
o Enter and update client information in program databases accurately.
o Generate reports and track program outcomes as directed by the specialist.
o Assist in analyzing program data to identify trends and areas for improvement.
Communication and Collaboration:
o Serve as a liaison between clients, employers, and other service providers.
o Communicate with clients to provide updates on program activities and resources.
o Collaborate with the specialist and other team members to ensure seamless program delivery.
o Contribute to a positive and supportive team environment.
Resource Center Support
o Support its operations, including assisting with organizing and maintaining inventory for the clothing store and tech center.
o Assist clients in accessing resources available at the Resource Center, such as clothing, technology, and other essential items.
o Coordinate with the Resource Center team to ensure a smooth flow of services and efficient utilization of resources.
o Help promote and raise awareness of the Resource Center and its offerings to clients and community members.
o Assist in organizing and facilitating workshops or training sessions related to clothing selection, technology usage, or other relevant topics at the Resource Center.

POSITION QUALIFICATIONS
· High school diploma or equivalent; additional administrative training is a plus.
· Proven experience as an administrative assistant or in a similar role.
· Strong organizational and multitasking skills with attention to detail.
· Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
· Required Proficiencies – Microsoft Office Suite, Experience CRM Platforms and Case Management Software.
· Valid Driver’s License and reliable transportation.
· Must be able to pass a pre-employment drug screen, background checks and clearances.
Job Type: Part-time
Pay: $15.00 - $18.00 per hour
