Position Summary:

Winchester Cardiology and Vascular Medicine is seeking a dedicated Patient Access Specialist to join our dynamic team. The Patient Access Specialist plays a vital role in providing a welcoming and efficient experience for patients by managing incoming calls, scheduling appointments, and facilitating access to healthcare services. This position requires professionalism, strong communication skills, and a commitment to delivering exceptional patient-centered service. The specialist will also coordinate scheduling, maintain accurate records, and assist with front desk operations as needed.

Essential Duties and Responsibilities:

  • Serve as the primary point of contact for incoming patient calls, ensuring all inquiries are addressed in a professional, compassionate, and timely manner.
  • Accurately document patient registration and insurance information while maintaining confidentiality and compliance with HIPAA standards.
  • Schedule and confirm patient appointments, tests, and referrals according to established protocols and patient needs.
  • Ensure efficient coordination of patient communication by relaying messages accurately between patients, providers, and clinical staff.
  • Assist in verifying insurance coverage and providing patients with necessary financial information related to their care.
  • Use office technology, including electronic health records (HER) systems, telephones, fax machines, and email, to facilitate smooth operations.
  • Collaborate with team members to enhance workflow efficiency and optimize patient access to care.
  • Provides backup support to front desk and scheduling staff as needed.
  • Assist with clerical tasks such as filing, data entry, and processing patient documents.
  • Maintain a clean and organized workspace to ensure a professional and inviting environment.
  • Proactively identify and communicate operational challenges or patient concerns to the Front Desk Manager.
  • Perform additional duties as assigned to support the overall efficiency of the healthcare facility.

Schedule

  • Monday through Friday, 8:00 AM to 4:30 PM.

Qualifications:

  • High school diploma or equivalent required.
  • Previous experience in a medical office, clinic, or healthcare setting preferred.
  • Strong verbal and written communication skills with a commitment to providing inclusive, patient-centered service.
  • Knowledge of medical terminology and administrative procedures is a plus.
  • Proficiency in using computers, scheduling systems, and office equipment.
  • Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism.
  • Demonstrated ability to work effectively as part of a team and independently.
  • Ability to lift and carry up to 15 pounds.
