POSITION/TITLE: HR/Administrative Assistant
WORK LOCATION: Tolleson, AZ Plant
POSITION REPORTS TO: HR Manager
WORK TYPE: Tolleson, AZ Manufacturing Plant – On – Site (non-remote)
JOB SUMMARY:
The site Administrative Assistant is a detail-oriented and proactive position responsible for supporting the manufacturing plan leadership team in a variety of administrative tasks. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently. This role is essential for maintaining smooth operations within the office and ensuring that all administrative functions are executed effectively.
ESSENTIAL JOB FUNCTIONS:
- Perform data entry tasks accurately and efficiently to maintain up-to-date records
- Manage calendars, schedule appointments, and coordinate meetings for members of the plant leadership team
- Assist walk-in traffic including vendors, contractors, customers, applicants and other visitors
- Assist applicants with on-line job application process
- Schedule candidate interviews with HR and plant leadership
- Coordinate team member events
- Coordinate and schedule new hire orientation activities
- Update electronic communication boards
- Assist with clerical duties such as filing, organizing documents, and maintaining office supplies
- Organize lunches or other group events
- Utilize a variety of computer systems for tasks, including expense reporting and parts order entry (CMMS)
- Support office operations by performing general administrative tasks as needed
- Oversee and coordinate some vendor activities
- Performs other duties as assigned by management.
SKILLS and COMPETENCIES
- Strong attention to detail

- Demonstrated intellectual curiosity to learn the organization and its processes
- Excellent interpersonal and communication skills (oral and written) in English - English/Spanish bilingual preferred

- Strong collaboration and teamwork ability with a positive and outgoing disposition.
- Strong initiative and ability to work independently
- Proficiency with technology (Microsoft Office - Excel, Word, PowerPoint), ZOOM, CMMS)
- Clear, effective and proactive communication style
- Ability to manage multiple and changing priorities and projects
EDUCATION REQUIREMENTS:
- GED or High School Diploma
- Some college preferred
REQUIRED EXPERIENCE/SKILLS:
The individual must be able to read and write, speak and comprehend the English language. Bi-lingual preferred (English/Spanish)
3 years’ experience in a prior administrative role in a production or manufacturing environment

- Team Member may be required to remain stationary for extended periods of time.
- Team Member may be required to stand for long periods up to 8, 10 or 12 hours shifts.
- Team Member may be required to talk, walk, sit; use hands to finger, handle and feel objects, tools, and controls; reach with hands and arms; stoop, kneel, crawl or crouch.

- Work space is one that contains moving mechanical parts.
- Requires work in an indoor manufacturing environment that may be exposed to extreme heat that is not air conditioned.
- Work environment contains loud noises and odors that may last for long periods of time or on a continual basis as well as occasional airborne particles.
