Job Summary:
The Special Education Secretary provides vital administrative support to the special education department for grades PreK-4. Key responsibilities include processing PreK registrations, managing the special education calendar, and organizing referral paperwork
for grades PreK-4. This role also involves coordinating communication between staff, families, and service providers while ensuring all documentation is accurate and confidential. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks
in a fast-paced environment. Strong communication skills and the ability to maintain confidentiality are essential in supporting students, staff, and families throughout the special education process. Additional duties may be assigned as needed to support the
department's operations.
Key Responsibilities:
PreK Referrals & Registrations:
o Process and track all incoming PreK special education referrals.
o Coordinate PreK registration for students.
o Maintain accurate records and ensure compliance with referral and registration procedures.
Special Education Calendar Management:
o Schedule and maintain the special education department’s calendar, including meetings, evaluations, and deadlines.
o Coordinate with teachers, specialists, administrators, and parents to ensure timely scheduling of Individualized Education Program (IEP) meetings and other required appointments.
Special Education Referral Paperwork Management (K-4):
o Process and track special education referral paperwork for students in grades K-4.
o Ensure all required documentation is completed and submitted in compliance with district and state special education guidelines.
o Maintain organized and confidential student records, both electronically and in physical files.
General Administrative Support:
o Assist in preparing reports, forms, and communications related to special education services.
o Serve as a point of contact for parents, staff, and outside agencies regarding special education processes.
o Support special education staff with clerical and logistical tasks as needed.
o Perform other duties as assigned by the special education administrator.
Qualifications:
High school diploma or equivalent; additional education or training in special education or related field is desirable
