We are currently seeking a motivated team-oriented individual to join our staff as our Membership & Program Administrator. Winding Trails has a progressive and diverse program and extensive activities serving children, families, and individuals. This position performs administrative duties relating to managing the main office, our membership program, and a variety of recreational programs and special events. This position is the main contact with the public and is responsible for data entry, answering phones, processing monies, ordering supplies, and other office-related duties. This is a nonexempt full-time position with a starting salary of $23 per hour, a comprehensive benefits package including paid time off, 5% contribution to retirement plus up to an additional 3% match, health, dental, and life insurance. Summary of Responsibilities: The Membership/Program Administrator, under the general direction of the Executive Director, performs duties relating to the membership, programs, and donors of the Organization. This individual is the liaison between the Organization and all its constituents. This position also manages all social media and communications. 


Essential Functions:

 Collect, record, and process all monies relevant to membership and programs.

 Manage all data entry and filing of information for membership and programs.

 Manage membership passes and privileges including stickers, nanny passes, boat storage, etc.

 Maintains communication with constituents through personal contact, phone calls, and email.

 Handles social media communication for the organization including regular social media posts and emails.

 Marketing of programs and events through the production of flyers, social media posts, and emails.

 Oversee gate staff including hiring, scheduling, and communication.

 Provide front-line service to constituents through in-person contact, phone calls, and email.

 Process all incoming mail in a confidential timely manner.

 Assists with the development of brochures and newsletters.

 Provide recommendations and feedback based on interactions with constituents.

 Training of seasonal office help.

 Ordering office supplies and scheduling of cleaning and repairs for office equipment.

 Assists with processing of applications and contracts for new and returning programs and waterfront staff. 


Other Functions:

 Completes all other duties as assigned.


Qualifications & Competencies:

 A high school diploma with a minimum of 2 years’ experience working in an office setting.

 Thorough knowledge of the operation of standard office equipment is required.

 Solid working knowledge of computers, websites, Microsoft products, spreadsheets, Canva and database software.  Previous background in a public contact position desirable.

 Ability to deal pleasantly, efficiently, and effectively with the public.

 Ability to work in a fast-paced office environment with interruptions and the ability to juggle multiple priorities.

 Ability to follow written and oral instructions.

 Ability to multitask in an active environment.

 Strong customer focus on all tasks and activities, even while under pressure.

 Ability to work in extreme weather conditions.

 Vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.

 The dexterity necessary to utilize a computer keyboard on a regular basis is essential.

 Ability to keep his/her composure with the public and co-workers in everyday, stressful and emergency situations.
