Purpose for the Position:
The HR Operations and Systems Administrator provides administrative and operational support at the corporate level within different functions of the People and Culture team. This role is also responsible for the maintenance and administration of the Human Resources Information System to ensure data accuracy, provide user support and to ensure the system is being used effectively throughout the organization.
Essential Responsibilities:
Administrative HR Processes
- Support the implementation and management of HR policies and procedures.
- Assist in processing payroll-related documents and resolving discrepancies on a as needed basis.
- Handle employee inquiries related to benefits, leave policies, and HR procedures as needed.
Compliance and Reporting:
- Ensure compliance with legal, regulatory, and organizational requirements.
- Prepare and submit routine and ad-hoc HR reports for internal and external use.
- Conduct periodic audits of HR records and systems to ensure accuracy.
Employee Engagement:
- Support the organization of employee engagement activities, events, and training sessions.
- Assist in administering employee surveys and compiling feedback.
General Support:
- Serve as the first point of contact for HR-related queries.
- Collaborate with other HR team members to ensure efficient HR operations.
- Undertake additional tasks as assigned by the HR Operations Manager.
Systems Administration Responsibilities
- Assist with operations of HR systems, including data entry, updates, and system audits.
- Monitor system performance and troubleshoot issues to ensure smooth functionality.
- Support the implementation of new HR system modules or upgrades.
Data Management and Reporting:
- Works with field People team to ensure accurate employee records in the HRIS.
- Generate routine and ad-hoc reports for HR and management as needed.
- Ensure compliance with data privacy regulations and internal policies.
User Support and Training:
- Provide first-level technical support to HR system users.
- Assist in training HR staff and other employees on system functionality.
- Respond promptly to system-related inquiries and escalate issues when necessary.
Process Improvement
- Identify opportunities to enhance system workflows and improve user experience.
- Collaborate with the HR team to automate manual processes.
Compliance and Documentation:
- Maintain detailed system documentation, including processes, user guides, and issue logs.
- Ensure systems comply with legal, regulatory, and organizational requirements.
Skills and Abilities:
- Ability to handle sensitive and confidential information with discretion.
- Excellent skills in Microsoft Office, HRIS system, and Applicant Tracking System.
- Understanding employment laws and regulations related to HR practices.
- A positive attitude and the ability to work effectively in a team-oriented environment.
- Maintain a professional appearance and manner at all times.
Physical Demands: Light work. Exerting up to 20 pounds of force occasionally. Requires walking or standing to a significant degree and or requires working at a production rate pace entailing the constant pushing and or pulling of materials even though the weight of those materials is negligible. Reach overhead and below the knees, including bending, twisting, pulling, and stooping.
Work Location: This role is hybrid. Working out of the Santa Monica corporate office and hotel property locations as required.
Attendance:
Regular attendance in conformance with the standards, which may be established by Windsor Inc. from time to time, is essential to be successful performance of this position. Employees with irregular attendance/ tardies will be subject to disciplinary action, up to and including termination of employment. Upon employment, all employees are required to fully comply with Windsor Hospitality rules and regulations and will be subject to disciplinary action, up to and including termination of employment.
Requirements
• College degree highly preferred.
• At least 1 year experience in a role as a systems administrator
• At least 2 years of Human Resources experience required.
• Hotel experience highly preferred
• Excellent verbal and written communication skills
• Excellent organizational skills and attention to detail
• Bilingual, Spanish, and English a plus
