About the Position:
The Warehouse Coordinator is responsible for overseeing the efficient inflow, outflow, and management of inventory items within the warehouse. This position ensures that all procurement, storage, and distribution processes are carried out smoothly and in accordance with established protocols, to meet company objectives and external demands.
JOB RESPONSIBILITIES
- Inventory Management: Track and manage the inflow and outflow of goods into the warehouse. Ensure accurate logging of all received and dispatched items using warehouse management systems (WMS). Monitor stock levels and coordinate restocking processes when necessary. Implement and enforce inventory control procedures to maintain proper stock levels and prevent discrepancies.
- Receiving and Inspecting Goods: Oversee the receiving process, ensuring all shipments match order specifications. Inspect items for damage or discrepancies and work with vendors to resolve issues. Ensure proper storage of incoming items based on size, weight, and storage requirements.
- Outflow Coordination: Work with shipping coordinator to ensure order picking and packing process for outgoing shipments. Verify that outgoing shipments are correctly packaged and labeled. Coordinate the timely and accurate dispatch of products to other departments and customers.
- Warehouse Organization: Maintain a well-organized and clean warehouse, ensuring safe working conditions. Organize items for easy retrieval, minimizing errors and time spent on locating items. Implement a system for labeling and categorizing items in the warehouse.
- Communication and Coordination: Work closely with procurement, retail, International programs, and distribution teams to coordinate activities and maintain optimal inventory levels. Ensure accurate communication regarding stock levels, order status, and potential delays.
- Report Generation and Documentation: Generate regular reports on stock levels, incoming and outgoing shipments, and other relevant inventory metrics. Maintain detailed records of inventory transactions, ensuring compliance with company policies and regulations.
- Compliance and Safety: Ensure that all warehouse operations comply with relevant health, safety, and regulatory guidelines. Oversee safety protocols, including proper use of equipment, safe handling of materials, and regular safety inspections.
- Leadership and Supervision: Supervise warehouse volunteers, ensuring they are properly trained and motivated to perform their tasks efficiently. Provide feedback and guidance to improve warehouse productivity and performance.
- When not coordinating the warehouse, helping with volunteers, filter packaging, and post event quality control.
- Other duties as assigned by management
QUALIFICATIONS & EXPERIENCE
- At least 1-3 years of experience in logistics, supply chain management, or warehouse management preferably in a warehouse or retail environment
- Strong understanding of warehouse operations or logistics
- Knowledge of safety procedures and regulations in warehouse settings
- Ability to use warehouse management system (WMS), other management software, and tracking systems
- Excellent organizational skills and attention to detail
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously
- Strong communication and problem-solving skills
Essential Functions of the Job: In the course of performing this work, an employee must be able to:
- Sufficient physical ability to work in a warehouse setting and operate office & warehouse equipment (i.e. forklift); the employee is regularly required to bend, stoop, kneel, and at times may be required to lift 50 pounds and that may involve manual handling of packages and can be exposed to indoor, outdoor temperatures and various living situations.. Must be able to operate motorized vehicles with a valid license.

- Use computers, keyboards, phones, and other office equipment effectively to perform job duties.
- Communicate effectively verbally and in writing with colleagues, clients, and other stakeholders in person, on the phone, via video conference software, and via chat and email.
- Read and understand written documents, emails, reports, and instructions relevant to job responsibilities.
- Sit or stand for prolonged periods looking at computer screens reading and interpreting data and creating/modifying financial information and other data
- Organize tasks, manage time efficiently, and prioritize workload to meet deadlines
- Move within the office environment and adjust to different workstations, along with the ability to maintain proper ergonomic posture while performing tasks
- Attend meetings, events, or conferences, which might involve some travel and extended periods of standing or sitting
- Strong willingness to learn, adapt, and grow in the role to continuously improve performance and efficiency
- Enthusiasm for the organization's mission, with the ability to present information internally or externally when required
