We are seeking an experienced and motivated Compliance Coordinator for WineCub.
WineCub is a fast growing multifaceted, services business for wineries. We provide storage, logistics, shipping and compliance support and we’re one of a kind in Texas. We proudly store and ship wine for over 100 wineries in Texas and other e-commerce businesses in our area. WineCub also provides compliance services including but not limited to federal reporting, sales and excise tax reporting, label registration (Texas and out of state) and licensing. We show up daily with a can-do attitude as we say, we get ship done! We’re looking for a team member to join in providing outstanding service to an industry we are passionate about. This position will cover a multitude of tasks relating to winery compliance including product registrations, monthly tax reports, license renewals, research projects, and data maintenance. You will need to quickly become familiar with the company’s various software platforms, and you should improve upon internal processes where necessary. Additionally, you will create and update internal and external resources. You will be responsible for properly prioritizing the Department’s core tasks and customer needs to make sure all deadlines are met. You must be able to clearly and accurately explain regulations and policies in verbal and written form since you will be helping customers and company members from multiple departments navigate industry regulations and follow company processes. The Compliance team is responsible for clear, transparent, effective communication about complex issues. Therefore, you must be able to identify and draw lines in the sand, sometimes delivering disappointing messages. You will be responsible for untangling situations, recognizing potential issues and proposing solutions, escalating complex matters to the Compliance Manager. You must be an efficient and skilled problem-solver!
In sum: Compliance demands high organization, meticulous attention to detail, constant data maintenance, excellent research skills, the ability to locate, comprehend and apply state regulations, and efficiency. Responsibilities
State Sales and Excise Tax Reporting:
- Prepare and file state sales and excise tax returns for various jurisdictions.
- Research and interpret state tax laws and regulations.
- Maintain accurate records of sales and tax data.
- Communicate with state tax agencies to resolve any discrepancies or issues.
- Monitor changes in tax laws and regulations and update internal procedures accordingly.
Insurance Policy Coordination:
- Coordinate and manage the company's insurance policies, including renewals and claims.
- Ensure compliance with all insurance-related regulations.
- Communicate with insurance providers and brokers.
- Review and analyze insurance coverage and recommend adjustments as needed.
- Maintain accurate records of insurance policies and claims.
Data Management and Analysis:
- Utilize Microsoft Excel to analyze data and generate reports.
- Maintain accurate and organized records of financial and compliance information.
- Identify and resolve data discrepancies.
- Assist with internal audits and compliance reviews.
Client Communication:
- Communicate with clients regarding their sales tax and excise tax obligations.
- Respond to internal and external inquiries in a timely fashion.
- Provide excellent customer service.
Other duties as assigned.
Skills
- Computer savvy with excellent knowledge of MS EXCEL
- Comfortable entering and retrieving data on web-portals
- Experience with tax reporting
- Excellent math, organization, and time management skills
- Attention to detail, critical thinker and problem-solving abilities
- Excellent customer service experience
- Bachelor’s Degree
- Minimum of 2 years’ experience in sales tax reporting
- Able to self-start, prioritize, and take direction
- Demonstrated written and verbal communication skills
- Excellent research and analytical capabilities
- Excellent time management abilities
- Able to work in a fast-paced team environment and meet deadlines
- Versatility, flexibility, and willingness to work with different technologies and a continuously changing atmosphere
