Reporting directly to the Head of HR and Compliance, this position involves handling various administrative tasks, coordinating HR functions, coordinating various compliance tasks and ensuring smooth communication and operations both within the HR and Accounting departments and the overall winery estates. The ideal candidate will be a professional, detail-oriented individual with strong organization and communication skills.

Summary of Essential Job Functions :

  • Provide administrative and HR support to the HR and Accounting department and other staff as needed.
  • Assist with document management, including organization, scanning, and maintaining accurate physical and digital records.
  • Act as a point of contact for staff, addressing inquiries with professionalism and empathy.
  • Prepare materials and coordinate staff meetings, including taking and distributing meeting notes.
  • Support scheduling and coordination of administrative tasks to ensure deadlines are met.
  • Maintain and organize employee records, ensuring compliance with policies and procedures.
  • Assist with vendor coordination for office maintenance and estate supply needs.
  • Support the safety program, including managing training, certifications and compliance with programs.
  • Assist in payroll processing functions, including incentives calculations.
  • Serving as point of contact with our benefit vendors. Updating employee information and addressing employee questions.
  • Assisting with management of the performance review process. Coordinate the timing of reviews, scheduling and documentation.
  • Conducting first day of employment orientation with new employees and termination procedures on final day of employment
  • Assist in ensuring regulatory reporting is completed within deadlines and guidelines.

Requirements :

  • Experience with Office Suite and payroll processing with use of QuickBooks, AP, AR, and general business operations is a plus
  • Experience in a Human Resources role, experience with benefits, 401k plans, and payroll preferred
  • Bachelor’s degree preferred
  • Excellent verbal and written communication skills
  • Proven ability to relate and communicate with employees across the organization
  • Strong computer skills
  • Meticulous attention to detail
  • Competitive spirit and customer service minded skillset
  • Flexibility and adaptability to changing schedules and scenarios
  • Ability and willingness to travel as needed
  • Skills :

  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks efficiently while maintaining confidentiality.
  • Proficiency in Microsoft Office Suite and QuickBooks.
  • Additional Qualifications :

  • Bilingual in Spanish is desirable.
  • Accounts payable knowledge
  • Ability to work collaboratively as part of a team and adapt to new processes and technologies.
