Voc Rehab – Administrative Assistant
Reports to: Vocational Rehabilitation Project Manager
Salary (Grade): $14.42/hourly

Job Purpose & Position Overview
The Administrative Assistant is responsible for handling office documentation and correspondence in support of one or more managers and staff for the Vocational Rehabilitation Services Program. The administrative assistant will also organize meetings for administrators, greet office visitors and compose documents as needed.
Specific Job Duties/Responsibilities:
- Demonstrates the Winnebago Tribe’s core mission, vision, and values.
- Maintains a positive and helpful relationship with clients, Tribal staff, partners and stakeholders and employers.
- Assisting walk-ins, and over-the-phone requests for services, and coordinating referrals from other agencies.
- Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
- Perform general administrative duties such as but not limited to; filing, photocopying, taking, and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties.
- Ordering supplies, sorting and distributing correspondence and maintaining database records.
Required Qualifications/Skills:
- High-School Diploma and 1-2 years of experience providing administrative support.
- Must be competent in Tribal, State and Federal regulations and law as they apply to American Disabilities Act (ADA) and Vocational Rehabilitation Services.
- Must have strong interpersonal and communication skills, including the ability to communicate effectively, orally and in writing, through concise reports, memoranda, directives, emails, and letters.
- Must have the ability and interest to greet the public and handle difficult situations on and off the phone in a professional and courteous manner. Including the ability to work with angry or disgruntled clients in a cooperative and effective manner.
- Ability to always maintain strict confidentiality.
- Must have communication skills, both oral and written, to interact with staff, clients, officials, funding agencies, medical staff, and other individuals regarding program and client matters.
- Be computer literate and able to operate software for letter processing and spreadsheets.
- Familiarity with Winnebago culture, Winnebago reservation and community resources is desirable and a willingness to learn is required.
- Must be of good moral character. Will be required to pass Federal background checks and submit to pre-employment drug testing.
- Must possess a valid driver's license, maintain valid insurance, and be insurable under the Tribe's insurance policy.
- Proven ability to work well with Indian families and must have positive interaction skills.
- Must have the ability to organize and maintain clear and concise records.
Physical Requirements:
- Medium office work, which includes the ability to lift up to 30 lbs.
- Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.
- While performing daily duties, the employee is regularly required to talk and hear.
- Ability to drive company owned or personal vehicle.

Language Requirements:
- Must possess the ability to read, write, and speak the English language fluently.
