Word Processing Supervisor

Location: New York City (This is not a remote position)
Work Schedule:
- Thursday: 7:00 a.m. to 7:30 p.m.
- Friday: 7:00 p.m. to 7:30 a.m.
- Saturday: 7:00 p.m. to 7:30 a.m.
Job Summary:
The Word Processing Supervisor is responsible for the direct supervision of a team, including word processors, document specialists, distribution assistants, electronic bound volumes operators, and proofreaders. This role involves coordinating and delegating assignments from New York and 9 global offices to the Word Processing team. The supervisor also performs essential administrative functions such as policy implementation, records management, and performance evaluations. After hours, the Word Processing Supervisor supports additional departments, including Conflicts, Computer Support, Graphics, Reception, and Travel.
Essential Duties and Responsibilities:
- Coordinate and assign word processing work requests, ensuring critical deadlines are met.
- Guide staff on completing assignments using the firm's hardware and software.
- Troubleshoot document-related issues.
- Record and track all work requests in the electronic log.
- Ensure proper staffing across shifts for the Word Processing Center, Minicenter, Distribution Center, Electronic Bound Volumes, Proofreading, and special projects.
- Respond to emails and calls, assist with requests, and route communications as needed.
- Prepare and handle correspondence related to work requests and personnel matters.
- Maintain attendance records using Workday and file department records.
- Prepare end-of-shift status reports.
- Support other departments during off hours with various tasks, including conflict searches, travel reservations, and client requests.
- Prepare and conduct staff evaluations, addressing performance issues when necessary.
- Monitor temporary staff and ensure accurate paperwork.
- Implement and enforce departmental policies and procedures.
- Provide customer service to lawyers and serve as a point of contact for office services inquiries.
- Perform special projects as needed.
- Advise employees on new procedures and unusual work situations.
Qualifications:
- Advanced proficiency in Word, Excel, PowerPoint, Visio, and Acrobat.
- In-depth knowledge of computers and software used by the firm.
- Strong communication skills, sound judgment, and excellent attendance.
- Proven leadership abilities with the capability to direct and supervise high-performance teams.
- Problem-solving skills and the ability to develop feasible solutions.
- Ability to maintain personnel records and prepare reports accurately.
- Strong interpersonal skills with the ability to foster effective working relationships.
- Flexibility to handle unexpected situations and adjust schedules accordingly.
- Ability to maintain composure and confidentiality under varied situations.
Education and Experience:
- Minimum of 10 years of Word Processing experience, with at least 5 years in a supervisory role.
- Legal experience is preferred.
- Excellent written and verbal communication skills.
- Demonstrated ability to write reports, correspondence, and action plans.

Pay: $120,000.00 - $130,000.00 per year
