Job Overview: We are seeking a highly organized, proactive, and detail-oriented Office Manager/Administrator to oversee the day-to-day operations of our office. In this pivotal role, you will ensure the smooth functioning of office activities, assist in maintaining a positive and efficient work environment, and support the needs of our accounting professionals. You will manage administrative tasks, coordinate office resources, and work directly with the leadership team to improve operational processes.
Key Responsibilities:
- Manage office operations and ensure a clean, well-organized, and efficient workspace.
- Handle all incoming communications, including phone calls, emails, and office mail.
- Oversee office supplies inventory, ordering new materials as needed, and managing vendor relationships.
- Coordinate scheduling for meetings, conferences, and team events.
- Prepare and maintain office documentation, including filing/e-filing tax returns, records management, and other necessary reports.
- Provide administrative support to partners and staff, including drafting correspondence, preparing reports, and assisting with special projects.
- Manage office technology and liaise with IT providers for troubleshooting and equipment upgrades.
- Assist with client communications and ensure high standards of customer service.
- Support financial and accounting processes, including invoicing and billing assistance.
Qualifications:
- Proven experience as an office manager/admin or in a similar administrative role, preferably in a professional services firm.
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Familiarity with the CPA industry and Thomsen Rueters tax software is a plus.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving skills and a proactive approach to office management.
