Department : Marketing

Reports To : Marketing Manager

FLSA Status : Exempt

Pay Range : $60,966 - $91,449 annual salary

Within this range, pay offered will be based on the candidate's skills, experience, education, and other qualifications.

Position Summary : The Trade Show & Events Specialist supports the various functions of the marketing department through a variety of functions, including planning, organizing, and coordinating all trade shows and events attended by Wipaire and its' affiliates, assisting with the development of print and electronic marketing materials, events, and budgets, along with other duties.

Primary Responsibilities :

  • Plans, coordinates, and executes all trade shows that Wipaire and its affiliates attend.
  • Manages details of trade show registration requirements and deadlines.
  • Orders and coordinates payments for booths and show services.
  • Sets up and breaks down the Company booth.
  • Acts as Company representative in the booth during trade show hours.
  • In collaboration with Marketing Manager, determines and plans trade show needs, such as the following :
  • Arranges logistics for on-site customer meetings.
  • Coordinates pre-show meetings for sales staff to prepare for trade show execution.
  • Ensures all proper trade show materials are correctly packaged and shipped, including promotional and display items, along with various necessary supplies.
  • Works with third-party vendors to coordinate promotional items and shipping.
  • Coordinates logistics for sales and marketing staff including transportation, lodging, etc.
  • Produces (when possible) show-related signage and ensures consistent branding and messaging with all marketing collateral at the show, or coordinates production of consistently branded signage.
  • Creates estimates and actual budgets reports for trade shows & events.
  • Works with Marketing Manager to maximize the effectiveness of budgeted trade show dollars.
  • Manages information required in marketing database for reporting purposes and able to give presentations to groups of individuals internally and externally.
  • Responsible for the pull / ship of booth materials, monitoring their condition and storage.
  • Oversees the creation, packaging and shipping of Seaplane Medallions on an annual basis.
  • Assists with promotional item inventory.

Experience and Skills

Education, Experience and Credentials

  • Five years minimum experience in trade show & event planning strongly preferred.
  • Valid Drivers' License required. Willingness and ability to travel domestically and internationally.
  • Knowledge, Skills and Abilities

  • Proficiency with MS Office and Internet. Able to learn and utilize all Wipaire software packages.
  • Able to set up marketing display materials and trade show booths to present a visually appealing image of Wipaire, following all branding protocols.
  • Excellent interpersonal, collaboration, and relationship building skills to effectively work with a diverse group / variety of people and personalities, including developing relationships with staff, customers, vendors, external organizations, and industry representatives.
  • Able to maintain high quality standards and attention to detail in all facets of the work. Able to maintain utilization and efficiency standards.
  • Able to work independently, make moderate level decisions, and solve problems effectively and creatively.
  • Able to display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the organization.
  • Work as an effective and proactive team-player; exhibit flexibility and switch priorities in work duties while maintaining a positive attitude; understands the importance of supporting the organization, customers, and other employees.
  • Able to develop and give oral presentations to small groups of individuals inside and outside the organization.
  • Understand and maintain confidential nature of organization, employee and customer information, including and in accordance to HIPAA regulations.
  • Show professional knowledge, proficiency and initiative in achieving goals and meeting standards.
  • Able to identify, evaluate, problem solve, and give direction regarding problem resolution for individual issues.
  • Able to plan, prioritize, coordinate, and manage own work in a fast-paced environment. Able to work unsupervised, make moderate level decisions independently, and solve problems effectively and creatively.
  • PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB

    Incumbent must be able to :

  • Hear, speak and effectively verbally communicate in the English language, including following oral and written instructions, in order to communicate with people inside and outside the organization.
  • Sit at a desk for extended periods of time and perform long hours of work sitting at a computer.
  • Perform lifting of trade show booths and supplies weighing up to 50 pounds.
  • Twist, turn, bend, stoop and kneel while setting up trade show booths.
  • Apply manual dexterity and visual acuity for computer keyboarding and office equipment use and to review detailed reports and information.
  • Move around the office, plant area, and trade show sites several hours throughout the day.
  • Drive a Company vehicle, following applicable state and federal laws.
  • Travel nationally and internationally for trade shows without restriction up to 30%.
