What are the responsibilities and job description for the Global Bid and Pricing Coordinator position at WIREMASTERS INC?
Responsibilities:
- Support end-to-end bid management, including setting up the bid review excel file, master bid folder, coordinating bid kick-off meetings, following timelines required, assigning tasks, performing follow-ups, and monitoring progress to ensure all deadlines are met.
- Upon receipt of the bid request, review BOM (Bill of Materials) by using an internal Sigma report to understand the item characteristic, cost, suppliers, and relevant sales history. Preparation including estimate the proposal value, summarize the supplier mixture, and other data insights to develop bid strategy with the bid team.
- Using internal proposal tracker (Wrike) to track all open proposal stages and pipeline value. Perform the bid entry, regular follow-ups to maintain the accuracy of the bid pipeline report.
- Support the sales team by converting internal bid templates into the required submission format, ensuring all documentation meets client specifications.
- Conduct thorough debriefs after each bid award to issue documentation and log agreement tracker to ensure a smooth transition to the operations team.
- Conduct monthly reviews of the open agreement tracker to initiate timely agreement renewals or annual pricing review cycles in collaboration with the sales team.
- Identify potential risks associated with bids and proposals, collaborating with Bid and Pricing Manager and relevant stakeholders to develop mitigation strategies and contingency plans.
- Facilitate effective collaboration and alignment across departments involved in the bid process to ensure timely and accurate submissions.
- Occasionally, liaise with customers and suppliers to address bid-related questions and ensure clarity on requirements.
- Collaborate with the sales, Product Managers, and Bid and Pricing Manager to develop competitive pricing strategies. Analyze historical sales and cost data to execute optimal pricing structures and collaborate with the team to finalize for the bid.
- Assist in the preparation of compelling and accurate proposals. Ensure that all required documentation is submitted within deadlines.
- Act as a liaison between sales, operations, and product managements to gather relevant information for bids. Ensure alignment on bid strategies and deliverables.
- Set up and maintain organized records of all bids, pricing decisions, and related correspondence. Ensure compliance with company policies and audit requirements.
- Review and edit all bid materials to ensure consistency, compliance, and a high level of professionalism, adhering to brand guidelines and industry best practices.
- Identify areas for improving bid and pricing workflows. Propose and implement process enhancements to increase efficiency and accuracy.

Requirements:
- Minimum 2 years of experience in quoting, bid management, proposal development, or related roles.
- Proficiency in Microsoft Excel, including basic formulas (SUM, COUNT, etc.). Intermediate functions (LOOKUP, pivot tables, IF statements) and advanced skills will be developed through training and are essential for daily work. A proficiency test in Excel will be part of the interview process to assess your readiness for this critical tool.
- Proficiency in using Microsoft Office Suite, bid management software, and collaboration tools.
- Exceptional communication skills, both written and verbal.
- Strong project management skills, including the ability to manage multiple bids simultaneously and meet tight deadlines.
- Attention to detail, ensuring accuracy and compliance in all bid materials.
- Analytical mindset with the ability to conduct competitive research and assess risks effectively.
- Strong interpersonal skills to collaborate effectively with diverse teams.
