Introduction
Winnebago Mental Health Institute (WMHI), located near Oshkosh Wisconsin, is looking to fill a full-time Scheduling Clerk - Lead. This position will typically be scheduled to work Monday through Friday, 4 days a week between the hours of 5:00am and 3:30pm as well as every 3rd weekend and rotating holidays. WMHI is a part of the Department of Health Services (DHS), Division of Care and Treatment Services (DCTS) and is a psychiatric hospital providing quality mental health services to children, adolescents, and adults.

Position Summary
As the Scheduling Clerk – Lead, you will be responsible for the following duties:
- Functioning as one of the WMHI Indeavor Administrators/Subject Matter Experts and a Lead Worker of the WMHI Nursing Scheduling Office.
- Coordinating, implementing and evaluating the Indeavor Scheduling program for all WMHI nursing service employees.
- Performing varied and complex administrative and support tasks critical to the operation of the Nursing Department including Nursing Service scheduling, orientation of new nursing department employees, and providing advanced level Indeavor training to WMHI staff.
- Completing all Nursing Service procedures related to scheduling daily, monthly, and annual work/leave time for nursing staff in compliance with department and FLSA standards.
- Independently performing duties with a high degree of precision and accuracy, requiring analytical and independent reasoning. Personal contact with employees and supervisors is common.
- Maintaining working relationships with professional program staff and administration staff.
Salary Information
The starting pay is $21.66 per hour (approximately $45,000 per year), plus excellent benefits. A 12-month probationary period is required.
Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as an Operations Program Associate and is in pay schedule and range 02/11.
Job Details
All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.
All appointees will be required to receive a TB test, which will be administered by the facility or medical personnel directed by the facility prior to their start date.
DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire.
Physical Requirements: Must have visual acuity to read and interpret documents and computer screen. Must have auditory acuity to hear and understand telephone and in person conversations. Must be able to sit for extended periods of time when working with coworkers, completing paperwork and working at the computer/typewriter. Must be able to move self into and out of buildings, tunnel and elevators to carry out rounds.
Must have manual dexterity to type a minimum of 35 words per minute – this will be measured at WMHI during the recruitment process.
Qualifications
Minimally qualified applicants will have all of the following:
- Experience scheduling staff (e.g., preparing master schedule, posting staff schedules, maintaining vacation/holiday schedules, reviewing staff schedule changes, coordinating replacement staff for absences, etc.).
- Experience providing customer service (e.g., providing instructions, answering questions, resolving customer complaints/conflict, etc.) in a professional or business setting.
- Experience working with confidential or sensitive information such as personal identifiable information (PII) or medical/health records.
Well-qualified applicants will also have one or more of the following:
- Experience entering information into a database or spreadsheet or verifying data in a computer program (e.g., Microsoft Excel, etc.).
- Experience providing timekeeping or payroll support using software such as Indeavor (e.g., auditing timesheets to verify accuracy, maintaining attendance and/or FMLA trackers, calculating sick or vacation time, communicating with staff, etc.).
- Experience working in a lead worker role (e.g., training new staff, ensuring tasks are accomplished, etc.).
