The Wisconsin Motor Carriers Association is seeking a highly organized and detail-oriented Events Coordinator to join our team. The ideal candidate will be responsible for planning, executing, and overseeing various events, ensuring that all aspects run smoothly and efficiently.
This role requires exceptional service skills, strong time management abilities, and a passion for creating memorable experiences.
The Events Coordinator provides Event Planning and Coordination services, as well as Communications and Marketing services to the Association and its affiliated Divisions at its Madison office. This individual will lead and orchestrate conventions, outings and other events hosted by the WMCA and its affiliate associations.
The position is also responsible for managing WMCA’s social media pages, website development, biweekly newsletters and other communications aspects of the association.
The position requires experience with planning events, marketing, communications, securing sponsorships and donations, graphic design, and strong computer skills.
Responsibilities
Develop detailed event plans including timelines, budgets, and resource allocation.
Coordinate with vendors such as caterers, hotels, and entertainment providers to secure services.
Manage contracts and negotiate terms to ensure favorable agreements for events.
Oversee the setup and breakdown of events, ensuring all details are executed as planned.
Provide exceptional customer service throughout the planning process and during events.
Monitor event progress and address any issues or changes that arise in real-time.
Conduct post-event evaluations to gather feedback and improve future events.
Assist in fundraising efforts by organizing events that align with organizational goals.
Experience
Proven experience in event planning or management is preferred.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Excellent time management skills to meet deadlines effectively.
Experience in customer service roles is highly desirable.
Familiarity with catering services, hotel coordination, and contract negotiation is a plus.
Knowledge of marketing strategies to promote events effectively is beneficial.
Ability to work collaboratively within a team environment while maintaining a positive attitude.
Ability to multi‐task and work under pressure in a dynamic environment
Outstanding skills to prioritize, monitor and track activities
Excellent computer/technical skills (Canva, MailChimp, Excel, Adobe, PowerPoint, Publisher, WordPress, etc.)
