The Administrative Assistant is highly organized and will serve as the first point of contact for the Company, providing exceptional administrative and customer service support. Primary Duties & Responsibilities
Reception & Front Desk Management:
- Serve as the first point of contact for visitors, clients, and employees, creating a welcoming and professional atmosphere.
- Answer and direct phone calls, emails, and other inquiries promptly and professionally.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean and organized reception area.
- Provide high-level administrative support to executives, directors, and various departments.
- Schedule and coordinate meetings, appointments, and conference calls, ensuring efficiency in scheduling.
- Prepare and distribute company correspondence, reports, and presentations.
- Maintain and organize company records, databases, and filing systems (both digital and physical).
- Order and maintain office supplies, ensuring inventory is stocked for all departments.
- Coordinate office maintenance requests and liaise with vendors as needed.
- Assist in planning and organizing company events, meetings, and travel arrangements.
- Greet and assist clients, vendors, and business partners professionally and efficiently.
- Assist in responding to client inquiries, providing basic information about company services.
- Support customer service initiatives and direct inquiries to appropriate departments.
- Handle sensitive company and employee information with discretion.
- Ensure compliance with company policies and confidentiality agreements.
Education & Experience:
- High school diploma or equivalent (Bachelor’s degree in Business Administration or related field preferred).
- Minimum of 2-4 years of experience in an administrative, receptionist, or customer service role.
- Experience in a multimedia, entertainment, or technology-based company is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with office management software, scheduling tools, and customer management systems.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Professional demeanor and ability to handle high-pressure situations with ease.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Availability to work flexible hours if needed for special events.
