What are the responsibilities and job description for the Order Processing Specialist position at Wisenbaker Builder Services, Inc.?
Job Purpose
The Order Processing Specialist has the invaluable role of PO reconciliation for order cost accuracy, quoting each job, and releasing it to an order. This individual will work closely with the Customer Service Representative and Customer Purchasing Agents as well as other internal departments. Communication will be primarily through emails and online correspondence.
Primary Duties & Responsibilities
- The Order Processing Specialist should refer to their account process sheet(s) daily and stay up-to-date with any changes made through our Implementations department.
- The OPS will manage internal processing of all product orders.
- The OPS double checks and releases sales orders for items that have been entered by data entry.
- The OPS must handle accurate and timely quoting/PO reconciliation for all internal orders.
- The OPS should schedule all measures.
- Manage customer order entries
- The OPS should know how to run the builder’s software applications efficiently if applicable.
- Enter phone, fax or email orders into database management system
- Confirm products are ordered and lead-times are met
- Manage Need PO List
- Develop Internal and External Relationships
- Be able to handle all concerns and complaints to 100% satisfaction or elevate to appropriate corresponding departments.
- Be professional and provide a positive attitude at all times.
- Should have proper phone and email etiquette.
- Attend builder corporate office meetings if the opportunity presents itself.
- Perform general administration tasks
- Email, document preparation, phone, filing
- The OPS should attend meetings which include:
- Model Home Meetings
- Internal-Account meetings
- Stay up to date with product knowledge.
- Cross trained on Customer Service Rep
Qualifications & Required Skills
- High School Diploma or equivalent required
- College Degree Preferred
- Comfortable performing basic math calculations
- 1-2 years Customer Service Experience a plus
- Excellent verbal, written communication and listening skills
- Ability to pay close attention to detail
- Must work efficiently and effectively both independently and as a team
- Good time management skills
- Ability to operate well under the pressure of a deadline
- Possess problem solving and analytical skills
- Computer proficiency in Windows and Microsoft Applications
