We are looking for a highly organized and detail-oriented Property Management Coordinator to support our long-term rental portfolio of 55 homes. This role is essential to ensuring smooth day-to-day operations, handling administrative tasks, and providing top-tier service to tenants, homeowners, and vendors.

Responsibilities
✅ Tenant & Lease Management
- Process tenant applications, lease agreements, and renewals.
- Ensure all lease documents are accurately completed and maintained in Buildium (our property management software).
- Track and follow up on rent payments, late fees, and notices.
✅ Communication & Customer Service
- Act as the main point of contact for tenants, homeowners, and vendors.
- Respond promptly to tenant inquiries and assist in resolving issues professionally.
- Provide homeowners with regular updates on their properties.
✅ Maintenance Coordination
- Receive and log maintenance requests, coordinating with vendors to ensure timely resolution.
- Schedule repairs and track work orders through Buildium.
- Follow up on completed maintenance requests to ensure tenant satisfaction.
✅ Administrative Support
- Maintain organized records for leases, notices, and property-related documents.
- Assist with legal notices and compliance tracking.
- Prepare reports on rental performance and occupancy trends.
Qualifications
✔ Experience in property management, real estate, or a related administrative role is preferred.
✔ Strong attention to detail, organization, and time management.
✔ Excellent written and verbal communication skills.
✔ Ability to problem-solve and handle multiple tasks efficiently.
✔ Proficiency in Buildium or similar property management software (experience is a plus, but training will be provided).
✔ Basic understanding of Fair Housing regulations (training available).
✔ Strong customer service skills and ability to handle difficult conversations professionally.
