GENERAL SUMMARY:

Wisteria at Warner Center is currently hiring for a full-time Marketing Assistant in the Marketing Department.

The Marketing Assistant is responsible for the professional and efficient managing of the front office of the Marketing Department and assisting with the logistics of resident moves. He/she assists visitors and clients, answers a multi-line phone, and supports the Marketing team with a wide variety of clerical and administrative duties.

PRINCIPLE DUTIES:

  • Respond to move-in inquiries from prospective residents in a timely and professional manner, and coordinate with internal team members and external vendors to ensure all questions, concerns, and objections are addressed promptly and effectively.
  • Ensures necessary follow up was completed by team.
  • Schedules move in assessments.
  • Leads residents through the customization of their homes.
  • Participates in Development and Marketing Planning calls.
  • Coordinates move in paperwork.
  • Answers a multi-line telephone and voice-mail system.
  • Greets customers upon arrival, communicates with internal departments and residents, assisting as needed.
  • Supports the Marketing Director and Marketing team with general clerical duties including copying, scanning, faxing, collating, organizing, creating brochures, mailing newsletters, etc.
  • Maintains office calendar
  • Prepares and processes incoming and outgoing mail.
  • Maintains Excel spreadsheets and other reports as necessary.
  • Organizes detailed records of current and future depositors, assists in processing sales paperwork, updates the database, and creates files.

ADDITIONAL DUTIES:

  • Respond to move-in inquiries from prospective residents in a timely and professional manner, and coordinate with internal team members and external vendors to ensure all questions, concerns, and objections are addressed promptly and effectively.
  • Attends and coordinates weekly vendor update meetings.
  • Plans and coordinates on and off-site marketing presentations and events to include venue selection, menu planning, invitations, RSVPs, valet and other vendor logistics.
  • Assists with completion of Move-in Paperwork as needed.
  • Performs additional work duties and responsibilities as assigned.

QUALIFICATIONS:

  • Minimum three years administrative support experience, at least one of which was in a sales environment.
  • Excellent customer service skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills. Strong attention to detail.
  • Ability to handle multiple priorities while working in an area of constant distractions.
  • Good judgment and problem solving skills.
  • Strong computer skills, including Microsoft Office Suite (Word, Outlook, and Excel). Ability to learn new computer applications such as SalesForce and Smartsheets and BlueFingerprint.
  • Associate or other college degree a plus
