Are you a detail-oriented, highly organized professional looking for a rewarding role by the scenic shores of Bar Harbor, Maine? We’re seeking a Full-Time Seasonal Office Administrator to join our dynamic events team at the Atlantic Oceanside Hotel and Event Center.

In this role, you’ll play a vital part in maintaining efficient office operations, managing communication with clients, and supporting administrative tasks related to group sales and events. This full-time seasonal position offers regular business hours, Monday through Friday from 9 a.m. to 5 p.m., with a starting wage of $17 per hour.

Key Responsibilities:

  • Manage and track group calendar deadlines to ensure timely follow-ups and task completion.
  • Communicate professionally with clients via phone and email regarding deposits, reservations, meeting agendas, and menu deadlines.
  • Update and maintain group account records with received information.
  • Process and post food & beverage revenue, collect and apply payments, issue receipts, and assist in closing accounts.
  • Maintain internal digital and printed signage, ensuring accuracy and clarity.
  • Prepare and distribute shared written information as needed.
  • Assist with additional administrative tasks to support the sales and events team.

Qualifications & Skills:

  • Prior experience in office administration, hospitality, or a related field preferred.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Excellent organizational skills with the ability to multitask and meet deadlines.
  • Attention to detail and a high level of accuracy in data entry and record-keeping.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Performance Measurement:

  • 90-day performance review, task completion, and team collaboration.
