Essential Duties/Responsibilities:
Processing Withdrawals
- Review Case Information: Ensure all necessary information is present to proceed with case withdrawal, including attorney approval, reasons for withdrawal, and client notification.
- Communication: Collaborate with internal teams and/or the managing attorney to discuss the specifics of the case and any concerns related to the withdrawal.
- Document Generation: Create and print notices for relevant parties such as providers, clients, and insurance companies.
- Expense Requests: Coordinate with the accounting department to request any necessary expenses for the case.
- Sending Notices: Distribute notices to Providers, Client(s) and Insurance Companies via fax, email, and/or certified mail.
- File Preparation: Create zip files (USB and Filevine) for the client and mail them via certified mail.
- Client Notification: Notify the client via email once the withdrawal process is complete, providing details on how to access their file.
- Filevine Management: Ensure all withdrawal tasks in Filevine are completed and the case is properly closed once the withdrawal process is finalized.
Managing Interest Cases:
- Notice Management: Ensure that all notices, including lien amounts, have been sent to insurance providers and client(s).
- Follow-Up with Insurance Companies: Regularly follow up with insurance companies to monitor the status of settlements and the WLG Interest Fee.
- Court Record Searches: Search county court records to confirm if a lawsuit has been filed and obtain filed-stamped petitions and new counsel information if applicable.
- Communication with New Counsel: Maintain regular communication with the client’s new attorney to track case status and progression.
- Interest Fee Collection: Follow up with insurance companies or the client's new attorney and continue to track the claim until the interest fee is received.
- Filevine Updates: Regularly update the Referral / Withdrawn Tab in Filevine to reflect the current status of each case.
- Case Closure: Close cases once the interest has been received.
Interest Report Management: Utilize PowerBI to manage and prioritize the Interest Report based on the Statute of Limitations date, ensuring timely action on each case.
Education Requirements:
High school diploma or GED equivalent
Physical Requirements:
Office environment with normal business hours necessary to satisfactorily perform job functions. Some overtime may be required in order to timely accomplish work demands.
