MEDICAL RECORDS CLERK
Wyoming Army National Guard needs a Medical Records Clerk to procure, index, track, and maintain up-to-date and accurate records. The ultimate goals are to collect and properly index medical and dental records to ensure the readiness of the Wyoming Army National Guard (WYARNG).
RESPONSIVILITIES:
- Responsible for tracking medical records of ALL assigned Soldiers.
- Responsible for administrative medical charting regarding records in eCase.
- Request profile exams/evaluations and audiology exams at the physical exam center.
- Regularly check emails throughout the business day and respond promptly.
- Check voicemail throughout the business day and respond promptly.
- Ensure Soldiers referred by a provider for specific medical tests or other requirements are tracked to sufficiently support provider orders.
- Ensure all medical documentation received by the Soldier and/or their medical team is received and placed in an appropriated electronic record and the Soldier’s hard copy record.
- Maintain soldier medical records and maintain a tracking log.
- Obtain release of information signed by the soldier for release or collection of medical records.
- Upload medical documents of Soldiers into the Health Readiness Record (HRR).
- Stamp all medical documents for verification after uploading
- Index uploaded medical documents in HR and print or email a complete copy upon request.
- Track medical appointments by communicating with unit to ensure Soldier attendance and submission of follow-up documentation.
- Document all cases in eCase within one business day of notification of appointment, lab result, communication, or other action related to the soldier’s treatment plan.
- Log contact (email, telephone, or personal conversations) and updates with Soldiers, their cases, or their unit administrative support in eCase and/or other medical systems.
- Support soldiers in becoming medically ready by tracking medical or dental appointments.
- Ensure proper maintenance of soldiers’ medical/dental records per HIPPA and the Privacy Act.
- Shall possess the required technical skills and expertise to perform the functions with minimum guidance.
REQUIREMENTS:
- High school diploma
- 2 years of Medical Records experience
- 1 year of experience in a medical office setting
- Knowledge of dental and medical terminology
- Medical databases used: MEDCHART, MHS-Genesis, MODS, and PRT.
