We are seeking an experienced Bookkeeper with expertise in accounting, finance, and GAAP compliance. This role is responsible for overseeing financial operations, ensuring accuracy, compliance, and efficiency across all accounting functions.
Job Responsibilities
Accounts Receivable & Payable Management
- Prepare and deliver monthly invoices while managing the receivables collection process and tracking outstanding balances.
- Manage vendor billings, payments, and relationships with suppliers, vendors, and service providers to ensure timely payments.
- Oversee company loans, leases, and credit cards, ensuring proper and timely payments, including credit card reconciliation.
Transaction & Commission Management
- Maintain transaction filing systems (SkySlope and Lone Wolf) and ensure agent document compliance for state auditing.
- Process agent commission payments after company dollar and other fees are deducted.
- Conduct weekly audits to ensure transaction records in SkySlope align with Lone Wolf.
- Facilitate new agent orientation and maintain agent records.
Payroll, Benefits & Compliance
- Collect and process time and expense reports, coordinate payroll processing, and track company vacation and time-off policies.
- Manage employee benefits, including health, dental, and workers’ compensation insurance.
- Administer the company’s 401(k) and profit-sharing plans.
- Ensure compliance with state and federal regulatory reporting (semi-monthly and quarterly).
- Conduct new employee orientations and maintain personnel records.
Financial Reporting & Month-End Close
- Reconcile cash and balance sheet accounts, update supporting schedules, and post journal entries.
- Prepare financial statements, management reports, and monthly statistical reports for sales meetings.
- Generate financial reports for agents and provide additional reporting as needed.
Insurance & Compliance Management
- Administer the company’s Errors & Omissions (E&O) insurance and maintain agent certificates of insurance.
- Provide liability insurance certificates to landlords and vendors as needed.
- Maintain and distribute company W-9 forms.
Bank & Tax Management
- Oversee all company bank accounts, including daily deposits, transfers, checks, wires, and monthly reconciliations.
- Collect W-9s from independent contractors, vendors, brokers, and landlords, and W-4s from employees.
- Prepare and issue W-2s and 1099s, ensuring compliance with state and federal tax regulations.
- Provide necessary tax documents and reports to CPAs for corporate tax returns.
Qualifications & Skills
- Must be familiar with double-entry accounting
- Bachelor’s degree in Accounting, Finance, or equivalent related experience required.
- Proficiency with GAAP is required.
- 3 years of accounting experience, preferably in real estate or a related industry.
- Experience with SkySlope and Lone Wolf transaction management systems is a plus.
- Strong understanding of payroll processing, benefits administration, and financial reporting.
- Experience with QuickBooks or other accounting software.
- Proficiency in Microsoft Excel and financial data analysis.
- Strong attention to detail and ability to manage multiple priorities.
- Excellent communication and organizational skills.
