Patient Access Coordinator - Pediatrics
Woburn Pediatric Associates is looking for a full-time Patient Access Coordinator to be a primary point of contact for our patients/families and play an active role in the efficient operations of our practice.
** This job post is for our NORTH ANDOVER office **
This position is Full-Time 40 hrs/week (benefits-eligible). Must be available to work one weekend day each week (our Woburn office is open for sick appts on the weekends).
As a Patient Access Group team member, you're often the first point of contact that a parent/caregiver/patient has with our practice – which is quite important given that we only have one chance to make a great first impression!
This is an ideal opportunity for a collaborative & proactive healthcare/customer service professional who will:
- Answer incoming phone calls via a multi-line phone system, and either address needs of caller or direct calls to appropriate staff, as needed.
- Schedule patient well-visits & sick appointments in Epic, our electronic medical records (EMR) system.
- Work closely with patients/families to complete required documents, case histories & intake / insurance forms.
- Assist patients/families following their provider visit by scheduling follow-up appointments for tests, procedures, medical consultations and/or surgeries, as needed.
- Receive and reroute messages and/or or documents coming into the practice (e.g. lab results, specialist appt confirmations) to appropriate staff.
- Retrieve phone messages and forward calls through the EMR (electronic medical records) system to the appropriate internal staff member in a timely manner.
- Transmit correspondence or medical records by mail, email or fax.
- Handle prescription notifications, faxes & forms generated by Providers.
- Keep health information secure & maintain patient confidentiality as mandated by HIPAA regulations.
Skills & Qualifications
- High school diploma or equivalent is required; some college education is a plus.
- Experience working with a healthcare practice preferred; customer service-oriented individual with multi-line phone experience may be a good fit as well.
- Strong command of technology, including PC operation is required as is a demonstrated proficiency with multi-line phone system operation, as this is essential for our busy office.
- Prior experience with electronic medical records (EMR) system strongly preferred; Epic experience a plus!
- Strong listening, interpersonal communication, customer service and collaboration skills required.
- Ability to work efficiently in a busy office environment, recognizing the importance of prioritizing the most critical and pressing demands first.
- Integrity and strong work ethic demonstrated in daily work is a MUST.
- Dependability relative to excellent attendance & punctuality is critical.
Availability needed:
This position is Full-Time 40 hrs/week (benefits-eligible). The schedule during the week varies between the hours of 7:30am - 6pm (schedule consistant from week-to-week) plus the requirement of either Saturday or Sunday - each weekend*.
