The Oncology Operations Director manages and coordinates the daily operations and practice functions of multiple oncology practices. The Oncology Operations Director interacts extensively with the medical staff, advanced practice providers, clinical and administrative staff, patients, and Physician Practice Leadership. Oversees daily operations, customer service, and financial management.

Executive Director, Physician Practice Management
Workers Supervised:
Clinic Coordinators, Patient Access Representatives, Referral Coordinators, Oncology RN Navigators, Clinic RNs, Medical Assistants
Requirements:
- Bachelor’s degree in Healthcare or Business Administration
- Master’s degree in Healthcare or Business Administration preferred

At least 8 years of management experience in the healthcare setting
- Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications
- Membership in a professional group such as MGMA and/or ACHE is strongly preferred
Responsibilities of the Oncology Operations Director position include but are not limited to:
- Serves as a principal resource on all operational matters for assigned areas; may serve as consultant to leadership of other departments on operational matters.
- Monitors provider schedules for staffing and scheduling appropriateness to best facilitate care for the patients in a timely manner.
- Develops and implements initiatives to improve patient satisfaction; monitors data to evaluate effectiveness of interventions. Implements relevant information systems, such as managed care, insuring accuracy of data input and patient appointments. Provides feedback regarding improvement and changes to system. Insures staff training needs are met.
- Oversees management of practice support staff. Adheres to standards to meet service and customer needs. Develops and implements procedures to insure efficient processing of work.
- Develops and maintains systems and/or processes that measure the results of frontline staff productivity, volume, patient/staff/provider satisfaction or other work improvement indicators. Collaborates with other peers, providers and/or services to determine best practices, desired outcomes and best method of achieving outcome.
- Conducts data reporting and analysis to identify process improvement needs.
- Identifies training needs of clinic support staff. Coordinates regular skills development sessions for staff. Providers overall coordination and arrangement for recurring meetings, conferences, programs or activities.
- Holds regularly scheduled team meetings and keeps Executive Director informed. Represents ambulatory oncology practices at assigned meetings.
- Oversees referral management staff. Implements Revenue Cycle policies and procedures of referral management, co-pay collection, and visit tickets.
- Liaison and internal expert for revenue cycle support functions for care locations.
- Facilitates and ensures patient flow through all areas. Ensures availability of supplies.
- Works with Executive Director to coordinate equipment purchases and ensures all equipment is adequately maintained. Arranges maintenance and repairs as needed.
- Works with Human Resources for the following staff employment actions: hiring, corrective action and termination. Responsible for staff performance reviews.
- Collaborates with appropriate parties related to physician recruitment and onboarding
- Collaborates with Executive Director for planning, monitoring and managing budgets for multiple oncology practices.
- Liaison along with Executive Director to Woman’s Cancer Pavilion
- Oversees special projects, acquisitions, and start up new practices
