The Patient Access Supervisor is responsible for providing professional supervisory support to patient access team and other administrative staff within an assigned unit following established standards and practices.
- Responsible for the day-to-day functions of patient and office flow in conjunction with the Clinical Supervisor.
- Maintain provider templates driving a targeted increase in utilization week to week in alignment with organizational goals.
- Weekly review of online scheduling platforms, and communication to the Practice Manager regarding errors or inconsistencies, such as incorrect or missing appointment times, incorrect or missing appointment types, etc.
- Daily oversight of proper use of provider schedules, such as visit types, appointment duration, use of blocks, etc.
- Enforce policies and procedures related to patient access workflows as instructed by the Practice Manager.
- Handle non-clinical related patient complaints and concerns while working to increase overall patient satisfaction and engagement.
- Supervise, train, and understand all administrative positions for all locations to include billing, verification, front office (check in and checkout), scheduling, call center, and medical records.
- Oversee and manage front desk/check-in/check-out workflows and process to reduce errors, improve financial performance, and increase patient satisfaction.
- Manage call center responsibilities including call completion times, call ques and routing, wait times and staffing allocation.
- Create and run daily and monthly eCW reports (schedule, appointment types, charges, and payments, etc.); maintains and reports analytical and statistical data as required.
- Oversee and order office equipment and supplies when needed and review with Practice Manager for cost control measures.
- Demonstrate and embody the Women’s Care mission and core values.
- Compliance with all HIPAA rules, regulations, and guidelines.
- Other duties as assigned.
Qualifications
Qualifications:
- HS Diploma or equivalent required; Bachelor's degree preferred.
- Minimum of two years progressive experience working in a medical practice, preferably in OBGYN.
- Experience working with EMR systems with knowledge of functionality; eCW a plus.
- Knowledge of medical terminology, medical billing, and insurance reimbursement.
- Ability to lead and manage a team, with experience in conflict resolution.
- Ability to provide critical thinking skills, solve problems and identify solutions.
- Strong attention to detail and accuracy.
- Displays a professional and positive outlook and manner.
- Must be dependable, reliable, and punctual.
- Ability to work cooperatively in group situations; offers assistance and support to coworkers, actively resolves conflicts, inspires trust of others, and treats patients and coworkers with respect.
