As a Triage Medical Assistant at Women's Health Arizona, you will play a crucial role in providing exceptional patient care and effective telephone triage and patient support services to our patients, ensuring timely access to care and appropriate clinical interventions. The ideal candidate will have a strong background in women's health, strong clinical assessment skills, excellent communication skills, and a commitment to delivering high-quality healthcare services.

Triage Responsibilities :

  • Telephone Triage : Handle incoming calls from doctors, pharmacists, and patients, assessing their needs, prioritizing requests based on urgency, and routing them to the appropriate department or service. Provide timely and accurate telephone triage services to patients calling the clinic with medical concerns or inquiries. Assess patient symptoms, concerns, and medical history over the phone to determine the urgency and appropriate course of action. Utilize standardized protocols and clinical judgment to prioritize patient needs and provide appropriate medical advice, including referrals to healthcare providers or emergency services as needed.
  • Surgery Scheduling : Scheduling surgical procedures, coordinating with patients, hospitals, medical staff, and insurance companies to ensure that all necessary preparations are in place for surgery. Maintain an organized system for managing surgery dates, ensuring that patients receive timely information, and handling any issues or changes that may arise before the surgery. Confirm that all necessary tests, evaluations, and consultations have been completed before the surgery; as well as ensuring patients understand post-surgery care instructions and the recovery process.
  • Patient Support and Education : Offer empathetic and compassionate support to patients, addressing their concerns, providing reassurance, and answering questions about their health and medical conditions. Provide patient education on self-care measures, medication instructions, and follow-up recommendations in accordance with clinical protocols and guidelines. Document telephone encounters accurately and thoroughly in the electronic health record (EHR) system, including assessment findings, interventions, and patient education provided.
  • Coordination of Care : Coordinate patient care activities, including scheduling appointments, arranging referrals, and facilitating communication between patients and healthcare providers. Collaborate with clinical staff, including physicians, nurses, and medical assistants, to ensure seamless continuity of care for patients.
  • Compliance and Quality Assurance : Adhere to established clinical guidelines, protocols, and standards of practice in telephone triage and patient care. Maintain confidentiality of patient information and comply with HIPAA regulations and privacy policies. Participate in quality improvement initiatives and performance improvement activities to enhance the quality and safety of telephone triage services.
  • Professional Development : Stay informed about current trends, best practices, and evidence-based guidelines in telephone triage and clinical assessment. Participate in continuing education opportunities, training programs, and professional development activities to enhance clinical skills and knowledge.

MA Responsibilities (as needed for coverage) :

  • Patient Care : Assist OBGYN physicians and other healthcare providers in providing comprehensive care to patients. Escort patients to exam rooms, obtain vital signs, and assist with medical history documentation. Prepare patients for examinations and procedures, including pelvic exams, pap smears, and ultrasounds. Provide patient education on women's health topics, including contraception, prenatal care, and menopause management. Perform basic laboratory tests, such as urinalysis and pregnancy tests, and accurately record results in patient charts.
  • Administrative Duties : Schedule patient appointments and manage the clinic's appointment calendar efficiently. Maintain electronic medical records (EMR) and ensure accurate documentation of patient information, including medical history, medications, and allergies. Handle patient inquiries, phone calls, and messages promptly and professionally. Assist with insurance verification, billing, and coding processes as needed.
  • Clinical Support : Assist healthcare providers during examinations, procedures, and surgeries as required. Sterilize and prepare medical instruments and equipment for procedures and ensure compliance with infection control protocols. Stock exam rooms with necessary supplies and ensure equipment is in proper working order. Maintain cleanliness and organization of exam rooms and clinical areas.
  • Collaboration and Teamwork : Collaborate effectively with physicians, nurses, and other healthcare team members to ensure coordinated patient care. Participate in team meetings, trainings, and quality improvement initiatives to enhance patient care delivery and clinic operations.
  • Compliance and Safety : Adhere to HIPAA regulations and maintain patient confidentiality at all times. Follow clinic policies and procedures related to safety, infection control, and OSHA guidelines. Stay updated on industry regulations, best practices, and emerging trends in women's health and medical assisting.
  • Requirements :

  • High school diploma or equivalent required; completion of a medical assistant training program preferred.
  • Minimum of 2-3 years of clinical experience in a healthcare setting, preferably in telephone triage or medical assistance.
  • Certification or registration as a Medical Assistant (CMA / RMA) is strongly preferred.
  • Prior experience working in a women's health or OBGYN setting is highly desirable.
  • Proficiency in medical terminology, EMR systems, and basic clinical procedures.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with patients, healthcare providers, and colleagues.
  • Strong attention to detail, organizational skills, and the ability to multitask in a fast-paced clinical environment.
  • Commitment to providing compassionate care and maintaining patient confidentiality.
  • Flexibility to adapt to changing priorities and willingness to contribute to a collaborative team environment.
  • Strong clinical assessment skills with the ability to prioritize patient needs and make appropriate clinical judgments.
