Clinical Services Lead

The Clinical Services Lead position partners directly with Patient Care Supervisor and Practice Supervisor to direct and coordinate clinical staff which will include but is not limited to, directly supporting clinicians and the clinic laboratory at designated site(s). Responsible for supporting administrative duties related to the clinical staff. Partners with the Patient Care Supervisor and Practice Supervisor to support staff training, patient concerns, clinic maintenance and compliance at designated site(s).

Performs the duties of Medical Assistant III as outlined in the relevant job descriptions and depending upon individuals qualifications. Relieves other personnel as assigned according to staffing needs.
Serve as a go-to person for questions related to workflow clarification, scheduling, and operational procedures.
In partnership with the Patient Care Supervisor/Practice Supervisor, create and coordinate the clinic services team schedule.
Serves as a go-to person to help coordinate and support advanced patient care needs such as but not limited to limited mobility patients.
Support the running of various clinical reports, including but not limited to, pap reports, in-basket contribution, injection administration, and vital sign. Relay these reports to the Patient Care Supervisor/Practice Supervisor in a timely manner.
In coordination with the Patient Care Supervisor/Practice Supervisor, oversee the tracking and completion of clinical logs, ensuring all necessary logs are completed and verified on time.
Partner with Patient Care Supervisor/Practice Supervisor to facilitate the roll out of new workflows and ensure smooth transitions for the clinical staff.
Coordinates clinic-level onboarding and training activities for new direct reports, including completion of new hire checklist. Supports Patient Care Supervisor/Practice Supervisor with clinic-level onboarding and training activities for new clinical services team members as needed.
Collaborate with Patient Care Supervisor/Practice Supervisor to organize meetings, including agenda planning, note-taking, and distributing meeting minutes to relevant stakeholders.
Work with Patient Care Supervisor/Practice Supervisor to conduct regular skills checkoffs and provide ongoing training for current staff to ensure competencies are maintained.
Assist the site administration team with project initiatives as needed to support clinic objectives.
Partner with Patient Care Supervisor/Practice Supervisor to recruit, interview, and onboard new clinical staff members to ensure clinic staffing needs are met.
Maintains continuity among work teams within WHA by fostering a spirit of cooperation.
Serves as an employee role model in all patient interactions by remaining friendly, courteous and helpful. Ensures patient, staff and clinician satisfaction through efficient clinical staff operations.
Maintains customer confidence and protects operations by keeping information confidential.

Ensures confidentiality standards are understood and followed by staff.
Identifies site- and organization-level processes and workflows for process improvement. Assists with and/or coordinates site- and organization-level process improvement efforts.
In coordination with Patient Care Supervisor/Practice Supervisor, ensures clinical staff direct reports understand and follow QI guidelines, OSHA and CLIA requirements, company and department guidelines, policies and procedures and protocols.
In coordination with the Patient Care Supervisor/Practice Supervisor, assesses needs and is responsible for the on-going and periodic training of staff on use of medical equipment and office procedures and protocols.
In partnership with the Patient Care Supervisor/Practice Supervisor, responds to emergency situations that may occur in the clinic and may assist clinical staff with de-escalating upset patients.
Attends WHA and clinical meetings, as assigned.

Education & Experience

• Certification from an accredited medical assisting program required; a graduate of an accredited school of nursing; a valid licensure as a Licensed Practical Nurse or Registered Nurse in the State of Oregon.
• CPR certification
• Prior experience at Women's Healthcare Associates preferred.
• At least 1 year of experience in OB/GYN or a family practice setting preferred.
