What are the responsibilities and job description for the Admin Assistant position at Wonderway ABA Services?
The admin assistant role is to Provide administrative support to the Clinical Director as needed, including scheduling meetings, preparing documents, coordinating communication, and assisting with special projects.
- Scheduling:
- Client & Staff Scheduling: Manage and adjust daily schedules for clients, RBTs, and BCBAs, ensuring efficient session coverage.
- Assessment Scheduling: Coordinate and schedule client assessments with BCBAs.
- Callout & Coverage Management: Adjust schedules promptly for RBT/BCBA callouts and ensure necessary coverage.
- At-Home Scheduling Support: Assist if needed with scheduling therapy sessions at home.
- Monthly Follow-Ups: Coordinate monthly check-ins with clients, BCBAs, and RBTs to ensure schedule consistency and satisfaction. Monthly check in calls to RBT and BCBA, the call should be less than 90 seconds.
- Break Coverage Coordination: Manage and cover RBT break schedules as needed.
- Tours & Referrals: Schedule potential client and partner referral tours.
- Coordinate and schedule Spirit Week.
- Weekly Team Meetings: Schedule, organize, and coordinate weekly clinical team meetings
- Notify the company in a weekly review on any clients or employees that may have stopped services
- Front Desk Sign-In Oversight
- Training & Onboarding Support
- New Hire Training: Provide Central Reach training for new employees and conduct handbook review sessions.
- Fingerprint Access Setup: Assist new hires with fingerprint access registration.
- Supplies & Technology Management
- Office & Clinical Supplies: Track, order, and maintain inventory for office and clinical supplies.
- Technology Management: Keep track of tech devices, including laptops and tablets, ensuring proper allocation and functionality.
- Scheduling Accuracy: Maintain correct schedules with minimal conflicts
- Callout Coverage: Secure coverage for callouts
- Onboarding Completion: Ensure new hires finish training
- Supply Availability: Keep all essential supplies stocked at all times
- Meeting Coordination: Successfully schedule meetings
