Occupational Health Medical Office Assistant Per Diem

Under the direction of the Occupational Health Department Director, the medical office assistant is responsible for clerical and clinical functions to assist with maintaining efficient patient flow, and assisting the Occupational Health staff, nurses and physicians to provide exceptional patient care.

MAJOR TASKS, DUTIES AND RESPONSIBILITIES 1. Greets patients when they arrive at the office, and provides them with necessary paperwork for services. 2. Answers telephone, schedules appointments, and directs calls. 3. Manages office responsibilities including: Collects patient information, retrieves, registers and maintains medical information into CERNER/B1, and establishes patient chart. Maintains patient charts and files patient records appropriately. 4. Liaison between WCH and business leaders, Managed Care Organizations, and Bureau of Workers’ Compensation in regards to filing injury claims, drug screen process, scheduling, and errors. Assists in communication, written and verbal, with area employers, completes forms, phones employers, and assists with copying and scanning of records. 5. Schedules procedures, diagnostic tests, medical testing such as lab and radiology as ordered by physician or approved C9. Assists with notification of patients and supervisors for follow up appointments. 6. Attends to patient behaviors in waiting rooms by listening, supporting and validating patient. In case of disruptive behavior, employing de-escalating techniques. 7. Maintains office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs. 8. Maintains an office in orderly condition, including cleaning equipment or other routine cleaning. 9. Assists staff in obtaining reports and forms from other departments and transporting specimens to and from lab. 10. Enters charges, payments and adjustments into the B1on a daily basis. 11. Coordinates navigation of care of injured employee that had occurred during afterhours by contacting patient next business day to schedule follow up appointment. Contacts patients with missed visits and reschedules for follow up. 12. Obtains revenue by sending invoices of accounts to clients on weekly basis, collecting and expediting payment for services from past due clients. 13. Communicates on an ongoing basis with Accounting and Patient Accounts departments. 14. Liaison to Information Services to assist in troubleshooting any problems with the computer system. 15. Trained fit tester, hair drug screen collector, and drug screen and BAT collector according to Department of Transportation guidelines. 16. Assists with other administration projects and tasks as needed and assigned by department director.
