Wood Orthodontics is currently seeking an experienced, upbeat part-time Patient Coordinator to join our skilled team and contribute to the continued success of our practice! Duties/Responsibilities:
- Deliver a welcoming patient experience with every patient both in person and over the phone
- Answer calls and schedule new and existing patients
- Text paperwork to new patients and follow up as needed
- Warmly welcome patients into the office upon arrival and accurately verify personal information is up to date and correct
- Review and sign contracts with patients
- Run reports for schedule availability to use in morning huddle
- Run past due appointment reports and schedule patients
- Monitor and respond to office emails and text messages
- Follow up with patient website submissions
- Accurately navigate and use Dolphin software efficiently and effectively
- Maintain a clean and welcoming patient waiting area
- Collect patient payments and post them to their patient ledger
- Upload necessary documents into patient chart
- Verify insurance accurately
- Additional duties as needed such as assisting with light cleaning, taking out the trash, refilling supplies in restrooms, and any other necessary tasks in our office
- Handle patient inquiries
- Collaborate with team members to facilitate a seamless patient flow, ensuring that each visit is comfortable, efficient, and on schedule
Job Requirements:
- 1 year of experience in dental setting preferred
- Dolphin software experience preferred
- Proven experience in a customer service or administrative role, preferably in a dental or healthcare setting
- Ability to work in a fast-paced environment, adapt to changing circumstances, and remain calm under pressure
- Strong attention to detail, ensuring accuracy and completeness in all patient-related tasks and charting
- Willingness to work as a team and possess adept communication skills
- Committed to the position, arriving on time daily and staying late as needed
- Be experienced in delivering high level, outstanding customer service
