What are the responsibilities and job description for the Registrar position at Woodberry Forest School?
Woodberry Forest School, located in Madison, VA, is an exceptional private boarding school community for high school boys in grades nine through twelve. It is one of the top boarding schools in the United States and one of the only all-boys, all-boarding schools in the country. Woodberry's 1,200-acre campus is the largest for boarding schools in Virginia, and one of the largest private school campuses in the country.
Primary Responsibilities
Create and Maintain the Academic Schedules and Records for Students and Faculty
- Manage course selection process for new and old boys in the spring and early summer
- Create academic schedules for each boy while minimizing conflicts, balancing teacher loads, and maintaining pathways for boys to move from honors to regular sections
- Create and distribute the booklist for each class
- Facilitate class placement of new boys by making incoming documents available to department chairs
- Create report card templates and distribute to parents
- Create and maintain transcripts and GPA calculations, reporting transcripts as needed by the college counseling office or the boy himself
- Ensure data accuracy, performing regular data cleansing, creating custom reports, managing user access, and staying updated with system updates to optimize capabilities.
Oversee Administration of Awards
- Provide selection criteria (GPAs, class ranks, etc) for consideration for Cum Laude as well as graduation, Amici Night, and underformer awards
- Create invitations and programs for the Cum Laude award ceremony
- Convene awards committee in the spring to determine all senior and underformer awards
- Order awards and arrange for distribution at awards ceremonies
Oversee the Planning of Graduation
- Order bleachers to be built in the graduation spaces
- Update graduation and Amici Night scripts
- Create graduation and Amici Night programs
- Order diplomas and ready for distribution
- Oversee a rehearsal with the senior class
- Communicate with other stakeholders and department heads
Oversee Candidate Interviews
- Plan interview schedule for incoming faculty
- Distribute schedule and resume to all involved parties
Parents’ Weekend
- Set up the Parents’ Weekend teacher conference sign up system
- Create registration packets, nametags, and programs and manage their distribution

- A trusted member of our community who can confidently interact with parents, faculty, and students alike.
- Extremely organized and able to communicate systems and processes.
- Proficient in or willing and able to quickly learn Blackbaud’s academic records systems. Experience with Blackbaud SIS is preferred.
- A team player and problem solver, willing to work with the assistant headmaster for academic affairs on new curricular initiatives.
- Willing to ask for help and clarification as needed.
