Job Summary

The Purchasing Support Specialist is responsible for providing administrative support to the purchasing department while also performing receptionist duties. This role involves assisting with procurement processes, managing inventory records, processing purchase orders, and acting as the first point of contact for visitors and incoming calls. The ideal candidate will have strong organizational, communication, and customer service skills to ensure smooth operations in both purchasing and front-desk activities.

Duties & Responsibilities

Purchasing Support

  • Assist the purchasing team with tracking orders, managing inventory, and processing purchase requisitions.
  • Communicate with vendors to ensure timely deliveries and resolve any issues with orders or shipments.
  • Update and maintain purchasing documentation, including records of transactions and purchase orders.
  • Assist in researching and evaluating suppliers, products, and pricing to support procurement decisions.
  • Prepare and process purchase orders, ensuring accuracy in product descriptions, quantities, and pricing.
  • Assist in managing stock replenishments.
  • Generate and maintain purchasing reports as requested by the purchasing manager.

Receptionist Duties

  • Greet and assist visitors with a professional and courteous demeanor, directing them to the appropriate departments or individuals.
  • Answer incoming calls, route them to the appropriate team member, and take messages when necessary.
  • Handle general inquiries and provide relevant information to clients, vendors, and visitors.
  • Maintain a clean and organized reception area.
  • Manage incoming mail and deliveries, ensuring proper distribution to relevant departments.

Requirements

  • High school diploma or equivalent; associate’s degree or higher preferred.
  • Experience in administrative support, purchasing, or related fields.
  • Prior receptionist or customer service experience preferred.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Professional phone etiquette and customer service skills.

Additional Skills

  • Provide general administrative support to the purchasing department, including filing, data entry, and document organization.
  • Collaborate with other departments as needed to ensure efficient office operations.
  • Perform other related tasks as assigned by the Purchasing Manager or office staff.

Physical Requirements

Ability to sit or stand for extended periods. Light physical tasks such as handling office supplies or packages may be required.

Travel

This position does not require travel to other Woodgrain locations.
