SUMMARY

Under the supervision of the Director, the Program Coordinator will develop plan organize programs and events. The Program Coordinator will design and publish program and event marketing materials. This position will perform a variety of routine and complex clerical and administrative work keeping official records providing administrative support to the Parks and Recreation, Ute Pass Cultural Center, and Woodland Aquatic Center staff assisting in the administration of the standard operating policies and procedures of the department and providing excellent customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, cashiering, data processing and bookkeeping.
  • Answer in-coming calls and route callers or provide information as required.
  • Receives the public and answers questions, responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
  • Prepares, maintains and updates registration software including the processing of programs, registrations and reservations.
  • Communicates program registrations to instructors to include the submission of instructor invoices, instructor inquiries and requests.
  • Serves as the administrator for registration software for Cultural and Recreation Department.
  • Maintains Cultural, Recreation and Aquatics website and social media posts.
  • Assists the general public with advertising inquiries for marquee, banner and electronic sign, including scheduling and maintaining user guidelines.
  • Composes, types and edits a variety of correspondence, reports, memoranda and other material requiring judgment as to content, accuracy and completeness.
  • Inputs data to standard office and department forms, makes simple postings to accounts and compiles data for various reports.
  • Acts as custodian of departmental documents and records. Establishes and maintains filing system, controls records and indexes using moderate independent judgment.
  • Maintains inventories and orders office supplies and materials.
  • Designs and distributes marketing materials, news releases, flyers, notices, newsletters, rack cards, etc.
  • Facilitates and manages park and recreation facility reservations and room set up.
  • Assists public with use of department facilities.
  • Receives and distributes incoming mail and processes outgoing mail.
  • Operates office machines as required.
  • Responsible for design and publication of recreation activities guide and marketing materials for the department.
  • Responsible for the development, recruitment and maintenance of programs.

ADDITIONAL RESPONSIBILITIES

  • Attends workshops, seminars, and schools as applicable.
  • Serves as a member of various employee committees as assigned.
  • Other related duties as assigned.

Works under direct supervision of the Parks and Recreation Director.

DESIRED MINIMUM QUALIFICATIONS

Education and Experience

  • Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping.
  • Two (2) years of recreation experience including youth and adult programming.
  • Two (2) years marketing and/or related experience or
  • An equivalent combination of related education and experience may be considered.

Knowledge, Skills and Abilities

  • Ability to communicate effectively verbally and in writing with the general public, City staff, and elected and appointed officials.
  • Ability to provide excellent customer service.
  • Ability to effectively meet and assist the public while establishing effective working relationships.
  • Exceptional working knowledge of personal computers and electronic data processing.
  • Working knowledge of recreation philosophy and programs.
  • Ability to promote and market programs and events.
  • Ability to perform cashier duties accurately.
  • Knowledge of modern office practices and procedures.
  • Skill in the operation of listed tools and equipment.
  • Ability to handle stressful situations.
  • Ability to work some weekends and holidays
  • First Aid and CPR Certification
  • Valid Colorado Driver’s License

Personal Computer, Phone System, Copy Machine, Scanners, Postage Machine and Motor Vehicle.

Specific vision abilities required by this job include close vision and the ability to adjust focus. Hand-eye coordination is necessary to operate computers and various pieces of office equipment.

WORK ENVIRONMENT

Work is performed mostly in office settings. The noise level in the work environment is generally not quiet in the office.
