Qualifications

Education: Required - High school diploma or equivalent Preferred - Associate's Degree or higher

Experience: Required - 3 years office experience; Preferred - 3 years office experience in a public school setting, fluency in Spanish

Essential Performance Responsibilities

  • Supervises and directs usual office routines and practices associated with a productive and smooth-running office.
  • Supervises and directs office personnel in keeping student records as shall be required by the District and the State.
  • Supervises and directs the daily/weekly staff attendance log.
  • Supervises and directs the receipt and routing of incoming phone calls.
  • Supervises and directs office personnel greets visitors courteously, determines their needs, and directs or escorts visitors to proper person.
  • Supervises and directs office personnel maintaining an organized work station.
  • Supervises and directs the receipt, sorting and distribution of incoming mail.
  • Supervises and directs office personnel in assisting teachers in preparing instructional materials as requested.
  • Supervises and oversees office/teacher supplies inventories.
  • Supervises and provides training of office staff in efficient use of office equipment and software.
  • Supervises and directs routing of material including correspondence, reports, notices, etc.
  • Supervises and directs regular filing system and filing of materials based upon the practice of the District.
  • Supervises duties of and assigns work of office clerks/volunteers.
  • Supervises and directs record keeping for student registration/transfer.
  • Supervises and directs incoming monies and preparation of deposits to the Business Office.
  • Supervises and directs the gathering and organizing of pertinent data as needed, and oversees it is compiled into a usable format.
  • Monitors and trains office staff in the maintenance of such student records as shall be required.
  • Develops and maintains procedural handbook for secretarial/clerical responsibilities.
  • Supervises and directs the scheduling of appointments and arrangements for conferences and interviews.
  • Supervises and directs any bookkeeping tasks associated with the building.
  • Facilitates the coordination of student records between food services, business office and the student records clerk.
  • Assists the administration in the evaluation, selection, recommendation for employment of dismissal of office secretarial/clerical staff.

Technical

  • Manages school records in accordance with Illinois School Student Records Act, providing efficient retrieval of information and other related archival responsibilities
  • Maintains the daily environment of the school office facility and supplies
  • Utilizes existing technology effectively in the performance of duties
  • Computer literacy and competency in use of existing technology

Interpersonal

  • Maintains contact with a professional nursing organization and utilizes continuing education opportunities to enhance professional knowledge
  • Participates as an active member of the school community, representing health/wellness
  • Performs other such duties and assumes other such responsibilities as may be assigned by the School Principal or Associate Superintendent of Education

PHYSICAL DEMANDS

Manual Dexterity: Work requires definite skilled and accurate physical operations requiring some closely coordinated performance.

Working Conditions: Some exposure to definitely disagreeable elements may exist.

TERMS OF EMPLOYMENT: June 9, 2025 - July 3, 2025: Monday thru Friday; 8:30 a.m.- 3:00 p.m.

SALARY RANGE: Starting $17.15 per hour. (Current District 50 employees in this position will be paid their current rate of pay.)
