Position Overview:
The Service Writer/Parts Specialist at Woods and Water Powersports is a critical liaison between customers, technicians, and the parts department. This individual ensures efficient and accurate communication regarding service work, part orders, and vehicle repairs while providing exceptional customer service. The ideal candidate will be organized, detail-oriented, and passionate about powersports.
Key Responsibilities:
Customer Interaction:
Enter customer information into repair orders and maintain accurate records.
Communicate clearly and professionally with customers regarding service needs, estimates, and progress updates.
Handle telephone and email inquiries about services and parts availability.
Provide estimates for service work and accessory installations.
Make phone calls to schedule service appointments and follow up on service inquiries.
Place confirmation calls to customers verifying appointments two days ahead of schedule.
Provide excellent customer service at every interaction.
Service Operations:
Write and maintain repair orders, ensuring all required details are documented.
Maintain records for all service work performed.
Coordinate with technicians to track work being performed and provide customers with timely updates.
Assist with incoming vehicle check-ins and deliveries.
Prospect new work opportunities to grow the service department.
Collaborate with the Parts Manager and Warranty Department to ensure necessary parts are available for scheduled repairs and warranty claims.
Communicate with manufacturers regarding warranty repairs and claims.
Parts Department Support:
Assist with counter sales in the parts department.
Order parts as needed and coordinate parts for service completion.
Work with the Service Manager on part orders, parts inventory, and pulling parts for service tickets or customer orders.
Maintain the parts sales floor, ensuring items are appropriately stocked, priced, and displayed.
Maintain units on the sales floor with appropriate accessories and ensure cleanliness.
Administrative Duties:
File repair orders and warranty paperwork appropriately for follow-up and auditing.
Stamp manufacturer warranty repair orders for filing and ensure warranty parts sign-off by managers.
Maintain a clean and organized workspace and parts department.
Collaboration and Teamwork:
Interact with other store departments to facilitate sales and provide priority service.
Build and maintain positive working relationships with employees, customers, and vendors.
Abide by and enforce company, store, and departmental policies.
General Duties:
Perform any additional duties deemed necessary for the overall success of the department and dealership.
Maintain a professional appearance while on company property or representing the company.
Requirements:
Skills and Abilities:
Exceptional customer service skills with a focus on communication and problem-solving.
Ability to multitask and manage time effectively in a fast-paced environment.
Proficiency in computer systems, including repair order software, point-of-sale systems, and basic office software.
Strong organizational skills and attention to detail.
Knowledge of powersports vehicles, parts, and accessories is a plus.
Education and Experience:
High school diploma or GED.
Prior experience in service writing, parts sales, or a related role is preferred.
A combination of education and experience will also be considered.
