Woods Machinery is seeking a detail-oriented and organized Sales Coordinator to support our sales team by ensuring smooth transactions and maintaining accurate sales records. This pivotal role is essential to our sales department, focusing on accuracy and efficiency in processing sales orders and coordinating critical sales paperwork.
Key Responsibilities:
- Order Management: Process and track equipment orders, ensuring timely updates to customers and the sales team on order status, delivery timelines, and any potential delays.
- Customer Invoicing: Prepare, review, and send accurate invoices for equipment sales, ensuring all charges align with customer agreements.
- Documentation & Compliance: Prepare and maintain sales documentation, including credit applications, finance documents, and lease agreements, ensuring compliance with dealership policies and industry regulations.
- Finance Liaison: Coordinate with finance partners on customer financing applications, verifying documentation accuracy, and ensuring the financing process flows smoothly.
- Retail Credit Tracking: Monitor and track retail credits and incentives due from manufacturers, ensuring all eligible credits are accurately documented and submitted in a timely manner. Follow up on outstanding credits and coordinate with the finance department to apply credits appropriately.
- Work Orders: Open and track work orders for sold equipment to ensure timely service preparation before delivery.
- Coordination with Departments: Work closely with sales, service, and parts teams to ensure smooth operations, accurate record-keeping, and timely responses to customer inquiries.
- File Management: Maintain electronic and physical sales records in compliance with dealership standards and regulatory requirements.

Requirements:
- Experience: Minimum 2 years in a sales support or coordination role; experience in heavy equipment, automotive, or related industries is a plus.
- Skills: Excellent attention to detail, strong organizational and time-management skills, and proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe & DocuSign.
- Knowledge: Familiarity with sales documentation, invoicing, credit applications, and financing processes.
- Communication: Strong written and verbal communication skills, with a customer-service-oriented approach.
- Teamwork: Ability to collaborate with cross-functional teams in a fast-paced environment.
- Pre-Hire Requirements: Successful completion of a background check and drug screening.
- Flexible Availability: Willingness to work overtime as business needs arise
