What are the responsibilities and job description for the Caldwell, TX - Corporate/ADMIN - Human Resources Assistant FT position at WOODSON WHOLESALE INC?
The Human Resources Assistant supports a broad range of human resources functions such as hiring and recruiting, training and development, benefits questions, creating and revising policies and procedures, as well as maintaining personnel records. Other administrative duties for the executive management team may be performed in this position.
Skills & Responsibilities:
- Review new hire applications and verify all information is complete and accurate.
- Help employees with completing employment and benefit paperwork.
- Process a variety of employee information (New Hire Checklist, Various Procedures & Policies, MVR, Background checks, Clearinghouse, ME Cards, etc.)
- Schedule all drug screens (new hires, accident, and randoms).
- Verify previous employment for CDL drivers and update portion of application as required by FMCSA.
- Document Employee correspondence results form & mail Woodson Letter (if applicable for CDL drivers).
- Update Store Managers on status of applications and together determine start date and position.
- Manage employee changes and monitor time discrepancies in time keeping software.
- Assist with creative ideas on employee retention and hiring quality employees.
- Assist with creating and scheduling developmental training and employee evaluations.
- Create and/or organize HR personnel files.
- Create, modify, or maintain policies and job descriptions.
- Create Driver Qualification (DQ) Folders per provided guidelines.
- Create calendar meetings for expiring: DL and ME cards.
- Schedule ME Doctor appointments for CDL Drivers. (Verify card was renewed, print registry backup, remind employee of three methods to notify state, update DQ file and calendar.)
- Update drivers list weekly: excel, Insurance portal and IIX monitoring.
- Email Fleet Manager monthly employee changes for forklift positions.
- Assist with benefits administration duties.
- Ability to handle confidential, proprietary, or personal information of the business and employees
- Ability to maintain schedule as agreed on with supervisor
- Independently research solutions to problems and present to team as needed.
- Proficient with computers including Outlook, Microsoft Office and other window-based software.
- Adaptive (work environment, schedule, delays, or unexpected events).
- Ability to read and speak the English language.
- Assist in payroll processes as needed.
- Process necessary invoices EX: drug screens, background checks, IIX driver monitoring.
- Plan and assign monthly safety topics.
- Assist in creating reports at year end.
- Consolidate and purge yearly files.
- Potential to work in stores or other departments.
- Provide general administrative support EX: entering, formatting and printing information; organizing documents; answering phones; relaying messages; maintaining equipment and supplies.
- Communicate effectively and as a team player.
- Perform other duties required by the business.
Working Conditions: Time will be spent predominantly in office environment (Wholesale). However time could be split between and the lumber yards and wholesale in varying proportions. You will spend most of your time working on a computer, talking on the phone and assisting managers. When at our lumber yards, you will be exposed to inclement weather (outdoor temperatures, humidity, and dust), noise and potential vehicle fumes.
Qualifications:
Education: High School Graduate/GED or equivalent work experience preferred. Basic reading, writing, and arithmetic skills required.
Experience: Previous knowledge in Human Resources is helpful but not required.
Mental/Physical/Visual Demands:
- Must be able to lift and carry up to 60 pounds on occasion.
- Regularly required to sit, stand, walk, use hands and/or fingers, reach with hands and arms, etc.
- May be required to perform specific tasks that involve climbing, lifting, pushing, or kneeling.
- Specific vision abilities include close vision and distance vision.
