One of the most beloved resorts in New England, The Woodstock Inn & Resort is seeking a Banquet Director to join the team.
Job Summary :
Leads the overall efforts of all the Woodstock Inn Conference and Banquets events. Responsible for soliciting banquet business and ensuring customer satisfaction with all functions booked. Coordinates and supervises the execution of all banquet functions to ensure clients’ specifications are adhered to and that the function runs smoothly and efficiently. Possesses up-to-date knowledge of food preparation and service and has the ability to perform all positions in Banquet operations in order to supervise, direct, and train all banquet personnel. Responsible for budget management, departmental scheduling, human resource management and systems management while achieving the overall performance standards of the department in the areas of guest hospitality, cleanliness, sanitation, safety and general ambience. Be visible in the operation, provide recognition, promote positive public relations, and resolve opportunities while anticipating guest needs.
Duties / Responsibilities
- Collaborate with Sales and Culinary teams to ensure flawless execution of events.
- Maintain expert knowledge of all services provided by the resort and how to suggest, promote and arrange utilization of those services to maximize resort revenue and guest satisfaction.
- Champions all standards, policies and procedures in the banquet department. Develop processes, procedures, policies and quality standards.
- Responsible for achieving budgeted revenues, monitoring cost control, inventory and payroll to drive profitability in department.
- Direct daily activities and assignments of staff for appropriate coverage. Responsible for departmental goals, strategy development and execution of assignments.
- Provide direct oversight of the property-wide Banquet operations ensuring high standards and consistency of excellent service, food quality and resort standards.
- Oversee the execution of event logistics for all events.
- Handle all emergencies, operational problems, personnel shortages and usual occurrences in a professional, managerial fashion.
- Monitor, investigate and resolve guest complaints, ensuring guest satisfaction.
- Follow industry market trends and suggest adjustments to menus and pricing. Develop new service techniques to drive guest satisfaction and profitability.
- Follow all health and safety guidelines and regulations.
- Oversee daily operation of the Banquet Department including scheduling of Banquet Supervisors and Servers to ensure proper staffing of all daily and function activities within budget guidelines. Communicate with Executive Chef and Culinary team to ensure efficient operations.
- Conduct regularly scheduled department meetings.
- Recruit personnel for vacancies, conduct interviews, select new employees and make job offers for the department following procedures as established by People & Culture department. Perform and / or direct performance reviews and evaluations of all personnel within the department.
- Conduct regular inspections of banquet facilities, equipment and amenities to ensure cleanliness, safety and functionality. Control equipment breakage / loss.
- Ensure that banquet / meeting rooms are set-up and that service delivery is carried out according to the Banquet Event Order, guest expectations, and resort standards.
- Solicit guest feedback to ensure guest satisfaction with service and amenities during guest’s visit.
- Prepare annual budget for payroll, revenues and expenses for the Banquet department. Coordinate annual capital expenditures for Banquet department.
- Maintain excellent communications with key stakeholders including Conference Services Managers, Coordinators, and Sales Managers.
- Conduct energetic, informative daily pre-shift / function meetings.
- Maintain expert knowledge of all services provided by the resort and how to suggest, promote and arrange utilization of those services to maximize resort revenue and guest satisfaction.
- Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
- Oversee department payroll. Coordinate weekly submissions of payroll records and tip distributions.
- Ensure communication of daily events, occupancy level, VIPs, group functions, etc. with each department employee at the start of each shift.
- Display leadership in guest hospitality, exemplify excellent customer service and create a positive atmosphere for guest relations.
- Other duties as assigned.
REPORTS TO : Director of Food & Beverage
WORK ENVIRONMENT : Full-Time Management position that requires a flexible schedule and the ability to work day / night shifts, weekends, and holidays. Conference and banquet areas of responsibility include outdoor and indoor spaces.
