Summary/Objective:

The Director of Facilities oversees the management and maintenance of the Center’s physical assets, including buildings, grounds and equipment. The role involves strategic planning, budgeting and ensuring compliance with health and safety regulations. The Director coordinates facility operations, manages a team of staff, and implements improvements to enhance efficiency and functionality of the facilities while supporting Center wide goals and strategy.


The campus was envisioned as a model for sustainability, maximum effort should be directed to ensure products, materials, and practices meet this intent.


Responsibilities include but are not limited to the following:

  • Lead the facilities management function for the Center leading all aspects of day-to-day management of the campus and off site space, including landscaping, construction, waste- water systems, and general safety and maintenance.

  • Create and manage a 3-5 year plan for a sustainable future in facility managementResponsible for daily tasks and routine maintenance in all areas, including: cleaning, painting, minor equipment repair, moving of furniture, grounds care, snow removal and other tasks

  • Contribute to continuing to drastically reduce their environmental footprint and contribute positively to the planet

  • Manager facilities team Organize and perform maintenance on all building systems such as HVAC, fire alarms, elevator, safety, and security, lighting and other utilities

  • Coordinate sub-contractors on daily indoor or outdoor projects

  • Advise on campus needs and makes recommendations on specific projects. Advises on multi-year capital projects and long- range plans as requested

  • Coordinate with licensed contractors in certain trades to ensure proper compliance with standards and appropriate building codes. Secures proper bids for specific projects

  • Responsible for management of the annual facilities budget 

  • Identify and manage vendors ensuring high quality deliverables; negotiate appropriate pricing for current and new vendors; select vendors who align with the Center’s values

  • Collaborate with green partners, use technology to drive sustainability in the workplace

  • Oversee proper functioning and maintenance of wind turbines, solar panels, and energy systems. 

  • Serves as the organization’s emergency management and safety officer.

  • Radiation Safety Office for Woodwell Climate 

  • Space Committee Member 

  • Collaborate with others work on the Woodwell Campus net zero project 

  • Directly and/or oversee the following facilities' responsibilities  

    • Manage shipping and receiving function: including internal mailbox system, delivering mail and packages to staff  mailboxes and offices, managing shipping supplies for staff (USPS and FedEx branded packaging), Pitney Bowles USPS  machine, shipping of work-related packages for staff (including computers), supports scientific staff with shipping  supplies to the field.

    • Ordering office supplies and other general supplies.

    • Maintenance of lighting, HVAC systems, and components 

    • Work with outside contractors as needed for Campus improvements, safety inspections, and other tasks as needed

    • Painting and drywall repair 

    • Equipment maintenance and repair 

    • Landscape and lawn maintenance 

    • Snow removal 

    • General cleaning 

    • Communicate with staff, contractors, and the general public 

    • Perform other maintenance tasks as required 

Must have the following skills, abilities and knowledge:

  • Proven track record with auditing energy usage, improving waste management, investing in eco-friendly technology, and using sustainable cleaning products

  • Familiarity with building operating systems (HVAC, fire and security, elevators)

  • Extensive experience with grounds care and building maintenance 

  • Set priorities and carry out tasks without direct daily supervision

  • Communicate with all levels of staff and outside constituencies 

  • Ability to work a flexible schedule dependent on facility schedules and demands

  • Experience with OSHA and safety requirements of a chemical lab 

  • Hoisting License or willingness to obtain one

  • Experience with alternative energy systems

  • Ability to work with motorized equipment in inclement weather conditions

  • Create, review, negotiate and implement contracts with outside vendors

  • Ability to work with a variety of equipment from handheld tools to heavy equipment 

  • Exposure to outside elements in all seasons

  • Excellent communication and organizational skills 

  • Must be able to lift, push, or pull up to 50lbs 

  • Excellent cleaning and maintenance standards 

  • Ability to use a computer, familiarity with the (Microsoft Offer or Google Workspace)

  • Manager facilities team and vendors

  • Ability to work at heights, including working on the roof of a 3-story building 

  • Possess a Hoisting License or willing to acquire one

  • Willing and able to work onsite 


Qualifications:

  • 5 years of relevant management experience

  • 7 years  experience in building or grounds maintenance

  • Bachelor’s Degree in Business or technical field or two or more years college level construction trade education preferred


Physical Requirements:

In the office:

  • Ability to tolerate sustained periods of walking, standing, sitting

  • Ability to lift 50 pounds

  • Ability to communicate

  • Ability to kneel, bend, and carry items

  • Ability to use phone and computers

  • Repetitive movements

  • Air, train, vehicle travel to attend meetings/event

In the field, the physical requirements of this role include:

  • Air, train, vehicle travel to access field locations

  • Driving a vehicle or ATV to access field locations

  • Walking, hiking, climbing to access field locations

  • Paddling, canoeing to access field locations

  • Standing and sitting for sustained periods

  • Frequent bending, squatting, and kneeling

  • Reaching overhead

  • Climbing ladders

  • Use of manual and power tools including shovels, saws, drills, and hammers

  • Ability to lift up to 50lbs up to 10 times/day

  • Ability to carry up to 50lbs up to 10 times/day

  • Ability to push/pull up to 50lbs up to 10 times/day


Work Environment:

The functions of this role are conducted in:

  • A variety of environments, both indoor and outdoor


Hours of Work:

  • This role is paid on a salary basis.

  • Typically, full-time employees work 40 hours during a Monday through Friday workweek onsite. However, this is a salaried position.  Therefore, the individual is expected to work as required to complete the duties of the position.  This may mean weekend hours and/or hours beyond 40 per week.

Classification and Compensation: This is a full-time, salaried, exempt position, the annual salary range is $95,000 dependent on qualifications/experience. Woodwell offers a generous benefits package and work life balance.
